Fiscal Specialist – 0080858
Responsibilities- Review, audit, and process purchasing documents (requisitions, purchase orders, purchase card logs) to ensure compliance with statutes, university procurement policies, funding sources, and object codes.
- Verify that disbursement vouchers and payment requests meet all applicable laws, policies, and procedures before submission to the Central Services disbursing office.
- Administer the college’s purchasing card system: reconcile online ledgers, adjust object codes, confirm monthly central reports, resolve discrepancies, and monitor card usage.
- Collaborate with vendors, contractors, other departments, and state offices to respond to inquiries, obtain required documents, resolve procurement issues, and distribute purchase orders.
- Compile and consolidate annual fiscal year‑end reports for central offices and maintain campus inventory records, ensuring proper identification and disposition of equipment.
- Assume duties of other Business Office personnel during absences, train student assistants, maintain a comprehensive filing system, and perform additional tasks as directed by the Assistant Fiscal Manager and Fiscal Manager.
- Bachelor’s degree in Business Administration or related field with at least one year of progressively responsible experience in accounting or fiscal administration, or an equivalent combination of education and experience.
- Functional knowledge of accounting principles, federal and state laws, and university financial regulations.
- Ability to recognize and resolve a wide range of accounting and fiscal problems.
- Strong written and verbal communication skills, including the ability to prepare reports and procedures.
- Proficiency in personal computer use, word processing, and spreadsheet software.
- Willingness to work outside normal scheduled hours, including evenings, weekends, or holidays, as directed.
