This position will support the operations of the University of Hawaii at Manoa School of Nursing and Dental Hygiene (SONDH) Office of Student Services, and is expected to begin approximately March 2026 or as mutually acceptable. Responsibilities
  • Manages the day-to-day operations of the Office of Student Services (OSS) Front Desk by serving as the first point of contact for students and visitors, providing a welcoming and helpful presence, general information about the School and OSS services, handling inquiries, directing to appropriate OSS advisors/coordinators, and handling administrative tasks including office communications, telephone management, bulletin board updates, mail sorting, office supplies, and keeping the reception area clean and presentable.
  • Organizes and collaborates with OSS advisors/coordinators in scheduling OSS activities; new student orientations, informational sessions, recruitment events, etc., including events outside normal business hours (evenings, weekends, holidays).
  • Assists in the preparation of recruitment materials to enhance visibility, target identified audiences, and increase enrollment.
  • Prepares admission/application materials, information brochures, and catalogs, and coordinates their distribution.
  • Collaborates with the University Admissions and Records and Financial Aid Offices to support processing of student admission and progression documents.
  • Verifies enrollment and graduation for licensure, employment, certifications to the Board of Nursing and to educational institutions as instructed by the OSS Director.
  • Maintains individual student records in the student database accurately and up to date.
  • Collects and collates student data, student services surveys and information requests, and prepares reports and/or recommendations to the OSS Director.
  • Interfaces with campus and systemwide student service departments to maintain effective working relationships and identify best practices in student support services.
  • Coordinates intake of scholarships/grants/internships applications.
  • Keeps Director and Admission/Student Affairs committees informed on trends in servicing students who are inquiring about or attending SONDH programs.
  • Implements new process management and services at the direction of the OSS Director.
  • Ensures that student information released is in compliance with FERPA and applicable UH policies and procedures.
  • Develops and maintains a comprehensive office manual of OSS administration policies and procedures.
  • Provides administrative and fiscal support to the Director and to the OSS.
  • May supervise student assistants.
  • Keeps abreast of changes in program, admission, policies, and procedures.
  • Maintains competence in current technologies related to office needs (e.g., MS Office Suite, web-hosted services, shared drives, listservs, and other University systems).

Minimum Qualifications
  • Possession of a baccalaureate degree in management, education, or related field and one (1) year of progressively responsible professional experience with responsibilities for student services and/or office management in an academic environment; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities.
  • Functional knowledge of principles, practices and techniques in student academic services, advising, or counseling demonstrated by knowledge and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with higher education.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems commonly occurring in student services and/or office management in an academic environment.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
