Construction Project Coordinator – Seal Masters of Hawai‘i

Status: Full-Time, On-Site (ALL APPLICANTS MUST RESIDE ON OAHU)

Pay: $55,000 - 65,000 per year

Seal Masters of Hawaiʻi and Elite Construction are seeking a detail-oriented Project Coordinator to support our Project Directors and field teams on active construction projects. This role is key to keeping projects organized, clients informed, and documentation accurate from preconstruction through closeout.

The Role

As a Project Coordinator, you will support the Project Director and project teams by helping keep projects organized and moving forward from preconstruction through closeout. You will assist with documentation, scheduling, and day-to-day communication across multiple active projects, ensuring information is accurate, timely, and well-coordinated. This role requires strong attention to detail, proactive follow-up, and the ability to manage shifting priorities in a fast-paced construction environment.

Your support will play a key role in maintaining project efficiency, clear communication, and a positive client experience.

Key Responsibilities
  • Attend daily huddles and manage project communications
  • Draft and distribute project notices, schedules, and delay reports
  • Support billing with photos, SOV markups, and invoice drafts
  • Maintain Builder Trend (job setup, updates, and closeout)
  • Assist with preconstruction planning, permits, and client coordination
  • Organize site visit reports, punch lists, and closeout documents
  • Daily Communication & Coordination – Supports the Project Director by managing project email communications, routing inquiries appropriately, and ensuring all correspondence is addressed within 24 hours.
  • Project Notices & Scheduling – Prepares and distributes accurate project notices and schedules in coordination with Project Managers to ensure timely and clear communication.
  • Project Shutdowns & Delay Reporting – Coordinates with Resident Managers and Project Managers to communicate weather or site shutdowns and distribute formal delay reports as needed.
  • Site Visit Reports & Punch Lists – Responds to site visit reports and maintains organized, up-to-date punch lists for all active projects.
  • Billing & Financial Support – Assists Project Managers with billing preparation by organizing photos, spall documentation, SOV markups, and drafting invoices for review.
  • Builder Trend Management – Sets up, maintains, and closes out projects in Builder Trend, ensuring accurate job data, documentation, and financial records.
  • Preconstruction Planning Support – Provides administrative and coordination support during preconstruction, including meeting scheduling, notices, permits, and document tracking.
  • Client Communication – Supports consistent client communication by responding promptly to inquiries and helping ensure clients remain informed and confident throughout the project lifecycle.
  • Project Closeout – Compiles and organizes all required closeout documentation, including warranties, affidavits, and updated certificates of insurance.
