Bookkeeper/ Accounting Clerk, Accounting Assistant
Salary Range: Account Clerk IV, SR-13: $3,900.00 per month
Responsibilities- Determine necessary entries to reflect information not yet recorded; close and reconcile accounts; summarize accounts and transfer balances to other accounts such as permanent asset, liability and capital accounts.
- Segregate and group accounts as they will appear on the balance sheet or other required statements.
- Receive, receipts, and deposits cash collections of various kinds and maintain or supervise the maintenance of appropriate records.
- Abstract data reflecting financial conditions, cooperate to produce statements and reports; prepare a variety of reports and schedules with detailed information in specified account areas; prepare summaries of activities, reports or other data.
- Assign work to others as required and oversee work accomplishment.
- Determine various expenditures, purchases or other sources of action, basing decisions on rules of action, established policy or executive request.
- Make estimates of operational procedures, needs or requirements, such as operating budgets, materials or space needed or numbers of items for clerical and administrative operations.
- Prepare purchase orders, and order supplies, materials, equipment or contract services.
- Process invoices and prepare vouchers for approval to authorize disbursement.
- Draft operational guides, forms and other materials requiring specific knowledge of methods, procedures, policies or other information.
- May maintain inventory control records.
- May supervise one or more account clerical and other subordinates.
Account Clerk IV requires a total of 3½ years of experience: ½ year of general experience and 3 years of specialized experience. Certain positions may also require supervisory aptitude, defined as the demonstration of aptitude or potential for supervisory duties through completed assignments involving supervisory aspects.
General ExperienceKnowledge of arithmetic and spelling, and the ability to follow oral and written directions, write simply and directly, and observe and calculate differences in words and numbers quickly and accurately.
Specialized ExperienceExperience posting to accounting records, systematizing fiscal information, computing, classifying and recording numerical data, reconciling accounts, checking for errors and balancing, preparing standard financial statements, and handling double‑entry bookkeeping principles. For levels III, IV and V, experience must include reconciling accounts and preparation of standard financial statements.
Education SubstitutionsHigh school graduates may substitute basic English and arithmetic coursework for six months of general experience. One year of an accredited accounting curriculum may substitute one year of specialized experience, up to a maximum of two years. One year of a bachelor’s program in accounting may substitute the full experience requirement for an Account Clerk V level. Fifteen semester hours of accounting coursework may substitute six months of experience, up to a maximum of 3½ years.
