Job Summary

The Operations and Logistics Coordinator works with the Conservation Department’s Program Operations Manager to support the day‑to‑day functioning of the department by managing logistics, administrative tasks, and operational needs. The position manages and tracks program assets (e.g., equipment), ensures compliance with labor and safety protocols, tracks vehicles, purchasing, billing, invoicing, and provides additional administrative support. Along with the Program Operations Manager, the coordinator ensures that Conservation Department daily operations run smoothly, supplies and equipment are maintained and accounted for, and field teams and partners are supported with timely travel, scheduling, and resource coordination.

Responsibilities
  • Support the day‑to‑day functioning of the Conservation department by managing logistics, administrative tasks, and operational needs.
  • Manage and track program assets through inventory, tools, fence materials, radios, cameras, and field & office equipment.
  • Assist with logistics and scheduling for internal teams, partners, and contractors, including travel and housing scheduling, and field deployment support.
  • Support fleet management tasks such as tracking vehicle repairs, inspections, and safety documentation.
  • Maintain digital records of assets and assist with ordering and tracking equipment and software as needed.
  • Maintain required physical records at the department level such as SDS binders, pesticide/herbicide logs, SOPs, etc.
  • Assist with procurement and purchasing, including preparing purchase orders, tracking delivery, and submitting invoices.
  • Issue hunting permits to members of the public, check current hunting licenses, and take payment.
  • Work collaboratively with field staff, operations leads, and external vendors to anticipate and address logistical needs.
  • Contribute to the efficiency and safety of field operations through proactive support and systems management.
  • Perform other duties as assigned.
Qualifications
  • Demonstrated ability to work successfully as a productive team member with people of diverse cultures, ages, and educational backgrounds.
  • Strong interest in natural resource management.
  • Strong safety ethic.
  • Able to effectively, efficiently, and safely execute instructions and direction.
  • Minimum of 1 year of professional experience in office administration, program or project management, or logistics (preferably in Hawaii involving natural resource projects).
  • Excellent organizational and time‑management skills, and attention to detail.
  • Excellent written and verbal communication skills, and ability to write clear, concise emails and reports.
  • Ability to communicate effectively and coordinate logistics across departments and with external partners.
  • Able to maintain a positive attitude and work under pressure.
  • Able to drive 4‑wheel drive vehicles.
  • Proficient in Microsoft Office and able to learn in‑house database systems.
  • Able to use computers, GPS, tablets, and other electronic devices.
Preferred Qualifications
  • Prior experience supporting conservation programs or field‑based work.
  • Experience with administrative support, purchasing systems, and/or inventory management.
  • Knowledge of power tool and small machine maintenance and repair.
  • Experience working with diverse organizations and partners, including county, state and federal agencies, academic institutions, environmental consultants, contractors, and non‑profit organizations.
