Position: In-Office Adminstrative Assistant

Overview

The Administrative Assistant will work closely with the Program Manager or General Manager to provide clerical and administrative support for MTM Transit. Duties include handling phone calls, data entry, managing customer requests, and general receptionist and administrative tasks.

Responsibilities
  • Provide comprehensive reception and phone coverage while maintaining a high level of professionalism.
  • Forward incoming calls to the appropriate person or department.
  • Attend to a variety of administrative details such as keeping informed of department activities.
  • Report promptly any complaints or unusual circumstances to Management.
  • Check the fax machine regularly and deliver faxes to the appropriate person or department, with special attention to urgent faxes.
  • Ensure all staff and visitors are greeted in a pleasant and professional manner.
  • Project a professional image of MTM.
  • Use excellent customer service skills to establish and maintain effective working relationships with employees, agencies, participants, external partners, and the general public.
  • Communicate professionally with all levels of management internally and externally.
  • Maintain regular attendance as outlined by MTM’s attendance policy.
  • Adhere to all MTM established protocols and policies.
Qualifications
  • High school diploma or G.E.D. required.
  • At least 2 years of customer service experience.
  • At least 1 year of administrative experience in a professional environment.
  • Ability to assess potential problems and make sound judgments.
  • Proficient with Microsoft Word, Excel, and other Office Suite products.
  • Ability to work well under pressure, independently, and collaboratively to achieve defined goals.
  • Excellent communication skills.
  • Outstanding analytical and organizational skills with attention to detail.
  • Ability to maintain confidentiality.
  • Preferred:
    College degree.
  • Preferred: 1 year experience working with the ADA and/or elderly population.

Salary

Minimum: $22/hr Maximum: $22/hr (base salary, may vary based on location and experience).

Location

1100 Ward Ave Ste 835, Honolulu, HI 96814 (Full‑time, in‑office, Monday‑Friday).
