Oceanit is seeking an experienced and highly organized Senior Administrative Coordinator to support the administrative and operational functions of our Corporate Office. This hands‑on role provides professional, customer‑focused support across a wide range of activities, including shipping logistics, inventory and asset management, travel coordination, procurement support, facilities operations, special events, and company‑wide initiatives.

- Oversee and coordinate all company shipping activities, including domestic and international shipments, hazardous materials, and ITAR‑compliant shipments.
- Manage company‑wide inventory and asset tracking for both government‑owned and Oceanit‑owned property, ensuring compliance with documentation, tagging, and audit requirements.
- Lead annual physical inventory activities and maintain accurate asset records while identifying opportunities to improve operational efficiency and storage utilization.
- Provide responsive, customer‑focused support to employees, managers, and project teams while serving as a trusted resource for operational and administrative needs.
- Identify process improvements, solve logistical challenges, and help ensure the efficient execution of day‑to‑day business operations.
- Collaborate across departments to support organizational priorities and provide backup support for administrative functions as needed.
- Associate’s or Bachelor’s degree in Business Administration, Operations, Logistics, Supply Chain Management, or a related field preferred; equivalent experience will be considered.
- 5+ years of experience in administrative operations, logistics, office management, procurement, or a related role.
- Strong organizational, time management, and problem‑solving skills with the ability to manage multiple priorities and deadlines.
- Excellent customer service, interpersonal, written, and verbal communication skills.
- Proficiency with Microsoft Office applications and business systems; experience with JAMIS is a plus.
- Strong attention to detail, accuracy, and follow‑through.
- Ability to work independently, exercise sound judgment, and collaborate effectively across all levels of the organization.
- Availability to work on site Monday – Friday 8:00 am – 5:00 pm
- Experience coordinating shipping and logistics activities; hazardous materials shipping experience is highly desirable.
- Knowledge of inventory management, asset tracking, travel coordination, purchasing, and office operations.
- Experience supporting government contracts, research organizations, engineering firms, or technology‑focused environments.
- Familiarity with ITAR regulations, government property management requirements, or compliance‑driven operations.
- Knowledge of procurement, vendor management, and travel administration best practices.
