Job Summary

Office Assistant III position at the specified location. This posting is being used to fill various Office Assistant positions. Authorized level:
Office Assistant III. Applications are accepted down to Office Assistant II if necessary.

Salary

Office Assistant II, SR-06: $3,141 per month
Office Assistant III, SR-08: $3,266 per month

Responsibilities
  • Create, edit, print, store, retrieve, and delete documents using a computer and word‑processing software.
  • Prepare, review, and process forms, records, reports, applications and other documents for accuracy, completion and conformity to established requirements.
  • Check records and forms such as applications, permits, requisitions and vouchers for completeness and accuracy; evaluate information for conformance with established requirements; process documents in accordance with policies and procedures.
  • Search paper and electronic files, extract, compile, summarize information and prepare periodic and special reports.
  • Compose routine correspondence and letters of acknowledgement.
  • Set up and maintain paper and electronic files, revising filing systems as necessary.
  • Provide general information and resolve complaints in person or over the telephone, explaining rules, regulations, policies and procedures and the organization’s purpose and functions.
  • Determine the need for and/or make routine orders for necessary supplies, materials or other items.
  • Make arrangements for travel, equipment maintenance, telephone service and other similar matters.
  • Provide training and guidance to, assign, review and evaluate the work of clerical subordinates performing work comparable to the Office Assistant II class.
Minimum Qualifications
  • Basic experience:
    Demonstrated knowledge of English grammar, spelling, arithmetic; ability to read and understand oral and written instructions, write simply and directly, and compare words and numbers quickly and accurately.
  • Clerical experience:
    Experience involving a variety of clerical tasks, knowledge of office practices and procedures, ability to operate office equipment and technologies.
  • Office Assistant II: ½ year basic experience, 0 clerical experience, 0 supervisory aptitude, total ½ year experience.
  • Office Assistant III: ½ year basic experience, 1 year clerical experience, supervisory aptitude required, total 1½ years experience.
  • Supervisory aptitude:
    Demonstrated potential for supervisory duties through successful completion of assignments involving supervisory responsibilities or by favorable supervisory appraisal.
Keyboarding/Computer Skill Requirement

Positions that require keyboarding/typing skill (40 net words per minute) are typically at the Office Assistant II and higher levels. Use of computers, word processing and other software applications is required.
