Part Time Regular Administrative Assistant
Punahou Dance School offers classes in ballet, pointe, jazz, tap, musical theatre dance, street dance and contemporary dance for K - 12 students at Punahou and from the community. Punahou School is currently seeking a Part Time Regular Administrative Assistant who will work collaboratively, under the direction of the Dance School Director, to provide diverse administrative, operational, and strategic support to meet the needs of the Dance School program.
The Administrative Assistant will manage and ensure the smooth running of the department and help improve the department's procedures and day-to-day operations. They will develop processes that streamline program activities and functions (e.g. payroll, production calendars, assessments, communication) and take a lead role in the coordination of student workers, productions and event management.
Primary duties may include, but are not limited to:
- Provides support and information for the Dance School's faculty members and facilitates relationships and communication with students and families.
- Provides administrative support for the ISPE/ASPE Dance, Variety Show, Dance Team & Mini Dance Team programs, Youth America Grand Prix Ballet.
- Competition Team, private lessons and performances.
- Coordinates and ensures that all student supervision needs are identified and fulfilled.
- Manages all aspects of the facility and event management for all class and lesson instruction, events, meetings, workshops and performances in coordination with appropriate school departments and functions.
- Manages course enrollments & waitlists.
- Prepares payroll submission for program faculty and other employees.
- Actively monitors and reconciles the Dance School general ledgers and budgets.
- Tracks and summarizes all production revenues and expenses.
- Analyzes, organizes and clearly presents a high volume of complex student data to streamline production processes such as casting, measuring, fittings, dressing room assignments, quick change charts, costume distribution and safety procedures.

- Work Year: 9 Months
- Work Hours:
Monday - Friday, 11:00 PM - 5:00 PM, Schedule may vary based on operational needs
Minimum Qualifications:
- Bachelor's degree or equivalent combination of education, experience and training.
- Two (2) years of related experience in a high-volume office environment.
- Experience working in a school environment is preferred.
- Demonstrated high proficiency and experience with MS Office Suite (Excel, Word, Power Point) and Google Applications (Google Docs, Forms, Sheets, Slides).
