Job Overview

As an Executive Administrative Assistant supporting the VP of Operations, you will perform complex executive administrative and coordination assignments with a high degree of independence.

Responsibilities
  • Advance executive administrative duties, including preparing and drafting memos, letters, reports, and confidential documentation.
  • Coordinate and distribute group communications and announcements.
  • Maintain the complex calendar of top executives.
  • Represent and support senior executives as liaison between departments, key clients, and external customers (e.g., investors, community programs). May support international customers/key clients.
Qualifications
  • U.S. high school diploma required; continued education, training, or certifications preferred.
  • 5+ years of experience supporting executive level management.
  • Ability to process multiple types of information and perform multiple tasks simultaneously with competing priorities; effective time management.
  • Strong concentration, organization, and prioritization skills for self and others.
  • Ownership of work activities and accuracy, efficiency, and timeliness while being available during non-core working hours when necessary, with high integrity.
  • Ability to define, diagnose, and resolve significant organizational problems, make timely decisions under pressure, and handle incomplete information.
  • Capacity for independent action with little to no instruction, including recognizing necessary assignments and seeking additional responsibilities to help others.
  • Coordinate complex domestic travel using an online travel management system; international travel may be required.
  • U.S. Person status or eligibility for U.S. Department of State and/or U.S. Department of Commerce authorizations as required by the International Traffic in Arms Regulations (ITAR) and Export Administration Regulations (EAR).
