Office Administrator/ Coordinator
The Merchandise Assistant provides day-to-day support for the Merchandise Directors and Category Managers. Ensure all administrative duties are completed efficiently. Supports a professional and positive image of the Merchandise Department with O’Reilly team members and outside associates.
ESSENTIAL JOB FUNCTIONS- Provide administrative and clerical support to the Merchandise Directors and Category Managers.
- Assist in the daily business of the Merchandise Department which includes general office work, answering phones, managing correspondence, sorting and distributing mail, photocopying, and filing.
- Schedule and coordinate internal and external meetings, appointments, and calendars.
- Document and distribute meeting minutes as requested by Directors and Category Managers.
- Act as a liaison between Category Managers and suppliers, i.e. returning phone calls, requesting literature, samples, etc.
- Follow up on administrative details and ensure the timely and efficient completion of all assigned projects.
- Provide back up support to the Support Staff Coordinators as needed.
- Oversee special projects as identified by Merchandise management.
- Prepare and submit invoices, purchase orders, and product recalls.
- Review and update all department policies and procedures as needed.
- Coordinate fundraising activities for the department’s annual holiday adoptions.
- All other duties as assigned.
- High school diploma or equivalent (GED).
- 1+ years’ previous experience working in a corporate or other comparable setting.
- Excellent at detailed work with above average skills in areas of written and verbal communication.
- Ability to work in a fast-paced environment and apply multi-tasking skills when priorities shift.
- Punctual and reliable with an emphasis on accountability.
- Must be a self-starter with the ability to motivate a team.
- Able to navigate through ambiguous and subjective situations.
- Experience with Microsoft Office Suite.
