Student Support (Enrollment Assistant)

Full‑time permanent position in the Student Services, Admissions & Records division at Honolulu Community College.

Duties and Responsibilities
  • Schedules and coordinates campus visits for prospective students, families, and community members, ensuring alignment with the academic calendar and visitor demand.
  • Manages the campus visit request process, including email communication, scheduling platform use, and visit follow‑up.
  • Collaborates with campus departments and faculty to coordinate campus visits that include virtual tours, workshops, and events, providing a positive, seamless experience for visitors.
  • Leads campus visits when student staffing is unavailable.
  • Develops and updates tour scripts and materials to reflect Honolulu CC’s current offerings and achievements.
  • Plans and coordinates major enrollment events, including counselor workshops and other enrollment events in collaboration with the Enrollment Management team.
  • Manages event logistics such as space reservations, catering, transportation, technology, and promotional materials.
  • Oversees event registration and communicates with attendees before and after events.
  • Creates public presentations assessing effective recruiting and marketing strategies for local, mainland, international, parent, and student audiences.
  • Assists with hiring, training, and supervising student assistants who support campus visits and enrollment events.
  • Promotes and represents Honolulu Community College to prospective students, families, and community members.
  • Creates workflows and prepares/designs resources to deliver effective customer service to students and the public, aligning with student success goals.
  • Answers phone calls from interested students and/or their families, providing friendly greeting, accurate information, and referrals for follow‑up.
  • Keeps abreast of current information about academic programs and related student service opportunities to guide students through the enrollment process.
  • Provides admission and enrollment services, including initial contact, record maintenance, data analysis and reporting, and document review and processing.
  • Assists with development and implementation of Admissions & Records processes and procedures.
  • Assists with data extractions, reporting, and statistical analysis to support admissions and enrollment activities.
  • Reviews and processes admissions and records office documents.
  • Ensures management and disposition of student records comply with all applicable rules, regulations, policies, and procedures.
  • Serves as Designated School Official with SEVIS to manage international student affairs, including 1–20 issuance/reporting, INS advising, and OPT tracking.
  • Assists in reviewing and editing the Honolulu CC catalog and registration guide.
  • Assists with training, planning, coordination, implementation, and evaluation of events that promote application and enrollment.
  • Assists with recruitment, coordination, and onboarding activities for new, transfer, and returning students, including orientation, commencement, and relevant workshops.
  • Assists in training and educating stakeholders about Admissions & Records processes and policies to ensure compliance with relevant requirements.
  • Maintains Admission and Records web pages.
  • Keeps abreast of current developments in higher education relevant to assigned functions.
  • Provides recommendations to the Registrar regarding events and their effectiveness in relation to overall admissions strategies.
  • Assists in development and updating of promotional brochures, flyers, literature, and other communications/marketing admissions collateral.
  • Assists in developing and executing communication plans for prospective students, applicants, and parents/counselors who have indicated an intent to enroll.
  • Performs other duties as assigned.
Minimum Qualifications
  • Bachelor’s degree in counseling, education, humanities, social sciences, sociology, psychology, business, marketing, STEM, or a related field.
