Summary of Position:

Family Peace Centers teach non-violent problem-solving skills for families struggling with adult aggression and behavioral dysfunction, emphasizing partnership, equality, and respect among families.

The primary responsibility of the Program Coordinator is to manage and coordinate the administrative and office operations of the Family Peace Center (Oahu) Program. This position provides high-level support to program leadership and staff, serving as the central hub for office efficiency and the program's electronic client record system. The Program Coordinator oversees key systems including client intake processing, referral tracking, and the production of contractually required reporting to ensure all funder deliverables are met.

This position manages data integrity and assists in the preparation of contractual reports. Additionally, the Program Coordinator handles essential financial tasks, including the collection and processing of client program fees as well as managing purchase orders and reimbursements. The Program Coordinator also acts as the primary liaison for facility maintenance and site safety. This position is under the direct supervision of the Program Director.

Essential Job Functions:

1. Behave in a manner that supports the agency's mission and follows personnel policies and procedures.

2. Assume responsibility for the efficient and well-coordinated functioning of the office, including managing office supplies, equipment inventory, and coordinating repairs and facility maintenance

3. Assist program leadership in managing the program's electronic client record system by monitoring programmatic functions, training staff on system utilization, and ensuring the timely maintenance of accurate record keeping for appropriate quality and presentation.

4. Oversee financial administrative tasks, including the collection and logging of client program fees and the reconciliation of purchase orders, travel forms, and mileage reimbursements.

5. Coordinate the production and submission of contractually required reporting by identifying and collecting and inputting data needed for funder reports in conjunction with program leadership.

6. Manage administrative intake and referral processes, including tracking referrals from agencies and scheduling appointments for assessments and orientations. Foster a welcoming and supportive environment by providing daily in-person and telephone assistance to clients, collecting program fees, coordinating donations, and connecting individuals with appropriate program resources and services.

7. Facilitate the coordination of quarterly case record reviews to ensure program compliance and supports program leadership during monitoring visits and satisfaction survey processes

8. Assist the Senior Program Director in tracking budget expenditures and ensuring the timely spend down of funds in alignment with grant or contract requirements.

Minimum Requirements

Education / Training:

1. High School diploma, required. Associates degree, preferred.

Experience:
