The Executive Assistant is a full-time, on-site role based in Honolulu, HI, providing high-level administrative support to firm leadership. Day‑to‑day responsibilities include managing calendars, scheduling meetings, coordinating travel, and preparing internal and client‑facing documents and presentations. The role involves drafting correspondence, organizing and maintaining electronic and physical files, and handling expense reports and reimbursements with attention to detail and confidentiality. The Executive Assistant will help coordinate client meetings and events, liaise with internal and external partners, and ensure effective communication and follow‑up on action items.
This position also supports office operations by monitoring workflows, improving administrative processes, and anticipating the needs of executives in a dynamic, client‑focused environment.
- Demonstrated Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and travel arrangements.
- Strong Administrative Assistance capabilities, such as document preparation, records management, and office workflow coordination.
- Experience managing Expense Reports, reimbursements, and basic financial or budgeting tasks with accuracy and timeliness.
- Excellent Communication skills, including clear written and verbal communication, professional email etiquette, and the ability to interact with clients and partners respectfully.
- High level of integrity, discretion, and professionalism when handling sensitive client and firm information.
- Strong organizational and time‑management abilities, with capacity to prioritize multiple tasks and meet deadlines in a fast‑paced environment.
- Proficiency with office productivity tools (e.g., Microsoft Office or Google Workspace) and willingness to learn firm‑specific systems and CRM platforms.
- Prior experience supporting executives in financial services, wealth management, or professional services is preferred.
- Associate or bachelor’s degree in business, communications, or a related field, or equivalent practical experience.
