What You’ll Do

You will play an essential role in supporting project planning, documentation, and communication. This includes:

  • Preparing and submitting project documents including RFQs, RFPs, scopes of work, and contract materials.
  • Maintaining accurate project tracking systems, databases, and filing structures.
  • Coordinating schedules, meetings, milestones, and communication with internal teams, clients, and subcontractors.
  • Assisting with financial tracking such as budget monitoring, billing schedules, and timesheet collection.
  • Ensuring compliance with company standards for documentation and record keeping.
  • Preparing reports, presentations, and client‑ready materials.
  • Responding to routine project inquiries and escalating more complex issues when needed.
  • Supporting project teams in meeting deadlines, deliverables, and continuous improvement goals.
  • Maintaining professionalism and confidentiality with sensitive information.
What You Bring

A candidate who shines in this role brings:

  • Experience: 2–4 years in project coordination, administrative support, or similar roles—ideally in engineering, construction, or technical environments.
  • Education: Associate’s degree in Business Administration, Project Management, or related field preferred.
  • Technical

    Skills:

    Proficiency in Microsoft Office; familiarity with Deltek Vision or CRM tools a plus.
  • Communication: Strong written and verbal skills; confident working with clients and team members.
  • Organization: Keen attention to detail and ability to manage multiple deadlines.
  • Problem‑Solving: Proactive with the ability to identify issues and seek effective solutions.
  • Teamwork: Collaborative spirit aligned with SSFM’s culture of thoughtful partnership.
