The Department of Enterprise Services (DES), Honolulu Zoo is seeking a Secretary III! This full-time, permanent role in Honolulu involves providing executive administrative support, managing office operations, and applying knowledge of zoo operations while serving staff and the public.

What you will do:

  • Manage executive communications by organizing schedules, coordinating meetings, screening calls and visitors, and preparing official correspondence.
  • Maintain office operations by keeping accurate records, files, reports, payroll documents, personnel information, and office inventories.
  • Coordinate administrative support by supervising office staff as needed, assigning work, and ensuring daily office functions run smoothly.
  • Serve as the primary liaison between the Director, Assistant Director, and division supervisors to facilitate communication and follow-up.
  • Support organizational compliance by maintaining forms, updating administrative policies and procedures, and responding to routine inquiries and office needs.
  • Perform other related duties as needed.

Special working conditions:

  • Work schedule is Monday to Friday from 7:45 a.m. to 4:30 p.m.
  • May be required to work nights, weekends, and holidays based on operational needs.

Minimum Qualification Requirements

At the time of application, you must be a citizen, national or permanent resident alien of the United States or a non-citizen eligible under federal law for unrestricted employment. EDUCATION REQUIREMENT:
Equivalent to graduation from high school. Responsible work experience demonstrating the ability to perform the essential functions of the job may be substituted for education. EXPERIENCE REQUIREMENT:
Four (4) years of secretarial, stenographic or substantive clerical experience.

Substitution: 1. An associate's degree from a regionally accredited college or university or equivalent may substitute for up to one (1) year of secretarial, stenographic, or substantive clerical experience. 2. A bachelor's degree from a regionally accredited college or university or equivalent may substitute for up to two (2) years of secretarial, stenographic, or substantive clerical experience.
