Examples of Duties
  • Greets visitors, answers telephone, refers calls and messages, schedules appointments, and provides factual information.
  • Receives and opens mail, references correspondence to supervisor, composes routine correspondence, reviews outgoing correspondence for accuracy.
  • Establishes and maintains files; supplies records upon request.
  • Procures supplies, equipment, repair and maintenance services through agency channels.
  • Consults specific publications to obtain desired information.
  • Assigns facilities, vehicles, and equipment for efficient use.
  • Relays oral messages and instructions to subordinates.
  • Allocates bookkeeping items to appropriate accounts.
  • Types and prepares copies, stencils and/or master copies; takes dictation and transcribes it.
  • Records and maintains minutes at meetings or conferences.
  • Explains service details, methods, or policies.
  • Reviews work of others, identifies incorrect procedures, and corrects entries.
  • Approves or recommends the rejection of applications, requests, claims, or other items.
  • May supervise clerical subordinates and others in complex clerical work.
Minimum Qualifications

Experience Requirements – Applicants must have the following experience:

  • General Clerical

    Experience:

    0.5 years (always single clerk level) or 2.0 years (highly skilled).
  • Specialized Clerical

    Experience:

    0.5 years (basic) or 2.0 years (advanced).

Qualifications are based on overall experience scope and responsibility level; quantity alone does not prove competence.

Education Substitutions
  • High‑school graduation with basic English and arithmetic courses may substitute for 6 months of General Clerical Experience.
  • Entry‑level credit‑based clerical/secretarial curriculum (1 year) may substitute for 1 year of Specialized Clerical Experience.
  • Partial credit‑based curriculum may substitute on a month‑for‑month basis.
  • Baccalaureate program with required courses may substitute up to one year of Specialized Clerical Experience.
