This posting is used to fill Secretary II positions at the specified location. Responsibilities include, but are not limited to, the following:
- Greets visitors and answers telephone; refers calls and callers to appropriate staff.
- Takes messages for the supervisor and schedules appointments.
- Receives and opens incoming mail, and routes to the supervisor or other staff.
- Composes routine correspondence for supervisor's review.
- Establishes and maintains subject matter, alphabetic and/or chronological files.
- Procures supplies, equipment, repair, and maintenance services through agency channels.
- Consults or studies specific books, manuals, catalogs or other sources to obtain desired information.
- Assigns facilities, vehicles, equipment or similar items for efficient use.
- Relays messages and instructions orally to subordinates.
- Allocates bookkeeping items to correct accounts or classifications.
- Types correspondence, prepares duplicating machine stencils, and transcribes dictation.
- Prepares general notes and minutes at meetings or conferences.
- Explains details of services, methods or policies.
- Reviews the work of others and corrects errors.
- Approves or recommends rejection of applications, requests, claims based on policies.
- May supervise clerical subordinates on complex clerical work.
Experience Requirements:
Applicants must have the required general and specialized clerical experience as detailed below.
- General Clerical Experience (2 years) – Work that demonstrates mastery of English grammar, spelling, arithmetic, and ability to read and understand oral and written instructions.
- Specialized Clerical Experience (2.5 years) – Progressive, responsible typing, stenographic, or substantive clerical work that includes knowledge of common office appliances and equipment, and ability to perform secretarial tasks such as acting as a telephone and walk‑in receptionist, maintaining filing systems, arranging travel, composing correspondence, and reviewing outgoing correspondence for formatting.
Substitutions Allowed: A combination of work experience and education may substitute for required experience if it demonstrates comparable knowledge, skills, and abilities.
Substitution of Education for
Experience:
• Graduation from high school with courses in basic English and arithmetic may substitute for six months of General Clerical Experience.
• Completion of a full‑time equivalent clerical, stenographic, or secretarial curriculum leading to a diploma may substitute for one year of Specialized Clerical Experience.
