facilitates daily operations by providing clerical support, managing project documentation (contracts, change orders), processing invoices, and coordinating communication between project managers, clients, and subcontractors. Key requirements include proficiency in MS Office, strong organization, and experience with construction software.
Position SummaryThe Construction Administrative Assistant supports the project management team by ensuring efficient office operations, maintaining project records, and assisting with project specific documentation from inception to closeout.
Key Responsibilities- Document Control:
Prepare, maintain, and file project documents, including contracts, subcontracts, change orders, and purchase orders. - Project Support:
Track project schedules, update project statuses, and assist with bidding/estimating paperwork. - Financial Administration:
Code and process invoices, track lien waivers, and manage subcontractor insurance/compliance (COI). - Communication:
Act as a point of contact for clients, vendors, and subcontractors; answer phones and manage email correspondence. - Office Management:
Schedule meetings, manage calendars, order supplies, and maintain office organization. - Data Entry:
Enter new project data into company software (e.g., Buildertrend & CenterPoint).
- Experience:
1-3+ years of administrative experience, preferably in construction. - Software:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook). - Skills:
Exceptional organizational, communication, and multitasking abilities. - Knowledge:
Familiarity with construction documents and terminology.
- Experience with construction management software (e.g., Procore, Sage/Timberline).
- Understanding of lien waivers, COIs, and contract management.
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional travel to job sites may be required.
