Job Description

Duties

  • Performs clerical and administrative work in support of the office/organization. Incumbent acts as office manager for HQ PACAF/CS ensuring all administrative practices and procedures used by action officers and administrative personnel in 23 subordinate directorates are consistent with those of the organization.
  • Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted from the 23 subordinate directorates for the Chief of Staff signature. Uses multiple office automation software with varied functions to produce a wide range of documents with complex formats, such as graphics or tables within text, revising databases or spreadsheets.
  • Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Based upon detailed knowledge of the HQ PACAF staff organization and its programs and directorates, determines appropriate action.
  • Maintains the Chief of Staff's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office. Independently notes and follows up on commitments made at meetings and conferences by staff members.

  • Upon completion of your probationary/trial period, your employment will be terminated unless you receive certification, in writing, that your continued employment advances the public interest.
  • The incumbent must have or be able obtain and maintain a Top-Secret security clearance
  • Required to handle and safeguard sensitive and/or classified information in accordance with regulations to reduce potential compromise
  • Acts in a confidential capacity with respect to an individual who formulates or effectuates management policies in the field of labor-management relations
  • Overtime is sometimes required in order to meet mission needs
  • The incumbent must have the ability to type a minimum of 40 WPM

Qualifications In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED

EXPERIENCE:

Applicants must have at least one (1) year of specialized experience at the next lower grade GS-08, or equivalent in other pay systems.

  • Knowledge of office functions and commitments of supervisors and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain supervisor's calendar, and to perform other substantive or administrative work of the organization.
