Royal Hawaiian Movers is seeking a friendly, organized, and detail-oriented Receptionist / Administrative Secretary to support our Household Goods and Military Moves operations. This position serves as the first point of contact for customers, visitors, drivers, and vendors while providing administrative, customer service, data entry, and office support.

Pay: $18.00 - $20.00 per hour (Based on Experience)

Position Summary

The Receptionist / Administrative Secretary is responsible for welcoming visitors, managing incoming calls and emails, coordinating customer communications, performing data entry, maintaining organized filing systems, preparing shipping and move documentation, ordering office supplies, and supporting daily office operations. The ideal candidate is professional, customer-focused, highly organized, and able to work efficiently in a fast-paced environment.

Reception & Customer Service
  • Greet and assist customers, visitors, drivers, and vendors in a professional and welcoming manner.
  • Provide exceptional customer service and follow through on commitments.
  • Assist customers with the movement of personal household goods into and out of Hawaii.
  • Maintain daily email correspondence with customers, agents, and service providers.
  • Respond promptly to customer inquiries and logistics-related questions.
  • Follow up with customers regarding important move dates.
Administrative & Secretarial Support
  • Organize and maintain inbound and outbound customer files.
  • Perform filing, scanning, copying, and document management tasks.
  • Upload, sort, and organize documents within electronic databases.
  • Organized office documents/filing.
  • Order and maintain office supplies and monitor inventory levels.
  • Assist management and operations staff with administrative projects and other duties as assigned.
Data Entry & Documentation
  • Enter, update, and maintain information in the company's central database.
  • Ensure database accuracy, integrity, and confidentiality.
  • Type and process data quickly and accurately in a high-volume environment.
Operations & Logistics Support
  • Work closely with the Operations team to coordinate moving services and communicate with customers on daily schedules.
  • Perform stenciling duties and assist with shipment identification and move-related paperwork.
Qualifications
Required Skills & Abilities
  • Excellent customer service and communication skills.

  • Ability to prioritize and multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Education & Experience
  • High School Diploma or equivalent required.
  • Minimum of 1 year of experience in data entry, receptionist, administrative support, or customer service.
  • Experience in transportation, logistics, moving, or office administration is preferred.
Physical Requirements
  • Ability to lift and carry up to 25 pounds occasionally, including office supplies, packages, and similar items.
  • Prolonged periods of sitting, typing, and working at a computer.
  • Ability to stand, walk, bend, reach, and move throughout the office to assist customers and staff as needed.
