Position: Maintenance Turn Over Manager

Overview

The COM Manager is responsible for all aspects of the Change of Occupancy Maintenance (COM) process. Responsibilities include accurate data entry into the company’s system of record software, planning and scheduling both internal and contracted work, seamless coordination with the property management team for move‑in and move‑out of residents, and achieving all financial and performance metrics. This role will work directly with the Maintenance Director to meet HMC performance and financial goals.

You Will Do
  • Lead and manage the HMC COM department and its functions for Change of Occupancy Maintenance, including negotiation of trade contracts, service agreements, and quality assurance.
  • Develop scopes of work.
  • Create or approve Purchase Orders in accordance with HMC policy.
  • Ensure all vendors meet HMC insurance requirements before work begins, unless otherwise approved by HMC policy.
  • Ensure timely payment of HMC contractors once their work is completed and satisfies HMC expectations.
  • Schedule internal and contracted work associated with the performance of the COM.
  • Utilize the system of record (Yardi) software to accurately schedule and track status, time, labor, and materials associated with the COM process.
  • Review and update completed or planned work daily in Yardi and other HMC platforms, and communicate adjusted timelines to internal and external leaders as required.
  • Review all reports to ensure data entry information is accurate and consistent with HMC policy, alerting management of any inconsistencies.
  • Identify inefficiencies in the COM process that delay timely resident move‑ins or affect the quality of work performed by contractors or HMC employees.
  • Understand and achieve performance and financial goals, including meeting Performance Incentive Fee Metrics and Customer Service standards.
  • Ensure availability of parts and materials to meet timelines.
  • Conduct inspections to ensure HMC standards of COM quality and timeliness are met.
Qualifications
  • High School Diploma or GED (or equivalent) required.
  • 4‑6 years experience in building maintenance required.
  • 1‑3 years supervisory experience required.
  • Knowledge of electrical, HVAC, plumbing, carpentry, and general building maintenance trades.
  • Proven ability to meet deadlines, goals, and solve problems.
  • Highly proficient in property management software (Yardi).
  • Ability to develop comprehensive schedules that meet HMC goals and timelines and ensure adherence.
  • Ability to understand and follow HMC policies related to COM, Work Order, and Purchase Order processes.
  • Expert at identifying performance or scheduling issues and resolving them.
  • Proficient in standard office software such as MS Word, MS Excel, PowerPoint, email programs, and internet browsers.
  • Strong oral and written communication skills.
  • Team player with effective interpersonal skills with contractors, superiors, and peers.
  • Detail‑oriented and able to work within specified deadlines.
  • Ability to present information and respond to questions from managers, clients, customers, and the public.
  • Independent thinker with basic knowledge of property management activities.
  • Reliable attendance and punctuality.
  • Basic understanding of safety practices.
  • Must use technology platforms daily.
  • Valid Driver’s License in the State required.
Compensation

We are committed to offering competitive and equitable compensation. The hiring range for this position is generally between $82,320 and $102,720, exclusive of fringe benefits or potential bonuses. This position is also eligible for a performance bonus. Final salaries are determined based on factors such as geographic location, skills, education, licenses, certifications, and experience.
