Position: Lead Wrap Program Specialist (Statewide)

Lead Wrap Program Specialist (Statewide) POSITION SUMMARY

The Lead Program Specialist provides both programmatic and administrative support to the Family Wrap Hawai'i Program.

ESSENTIAL DUTIES AND RESPONSIBILITIES Program Coordination & Operations
  • Manage all incoming program referrals; ensure timely communication with staff, referral partners, and stakeholders.
  • Coordinate complex travel arrangements for staff in partnership with EPIC’s administrative team.
  • Schedule and manage field work assignments in partnership with program supervisors, ensuring adequate coverage, efficient routing, and alignment with program priorities.
  • Track and ensure follow-through of flexible funding and food requests and expenditures; ensure documentation meets organization and funding requirements.
  • Oversee program mailouts, including printing, assembly, tracking, and documentation.
  • Collaborate with program leadership to refine workflows and improve efficiency so that we can best meet family needs.
  • Communicate effectively with internal staff across programs, external partners, and community agencies to support program excellence.
  • Support onboarding of new team members by sharing program processes, tools, and best practices.
Program Administrative Support
  • Maintain organized records, tracking systems, and program documentation.
  • Assist with meeting preparation, agenda development, and note taking.
  • Help maintain program calendars, deadlines, and contract timelines.
Data Reporting & Quality Assurance
  • Conduct routine data and summary audits to ensure accuracy, completeness, and compliance with program and funder requirements.
  • Support high-quality summary writing for Wrap program, as needed.
  • Support development of grant reporting, as needed.
Navigation Support
  • Support Wrap Navigators, as needed, with identifying community resources and ensuring families receive timely, accurate information.
Recording Support
  • As needed, responsible for thorough, professional, and efficient note taking to include key issues in a concise manager as presented from all key participants during Wrap meetings, including family and professional sources to appropriately and neutrally secure important concerns and issues pertaining to the meeting.
  • As needed, accurately document and clarify critical information to the meeting such as important court dates, follow-up dates, and contact information.
  • As needed, responsible for writing the Wrap summary as outlined in EPIC Recorder training.
OTHER DUTIES/FUNCTIONS
  • Perform other related duties, as required and assigned.
  • Responsible for awareness and adherence to all company and safety policies and procedures.
  • Attend and participate at trainings, all staff meetings, and individual supervision, as scheduled.
  • Recommend improvements and/or enhancements of job processes and work environment to ensure high quality levels of service deliverables.
  • Addresses appropriate needs with supervisor and/or manager.
MINIMUM QUALIFICATION REQUIREMENTS
  • Must have a Bachelor’s degree in a related field from an accredited institution of higher learning; and
  • A minimum of one (1) to two (2) years related experience and/or training; or equivalent combination of education and experience
  • Strong organizational skills and ability to manage multiple priorities.
  • Demonstrated proficiency with databases, spreadsheets, or other data management systems.
  • Ability to work independently and as part of a team in a hybrid work environment.
  • Must maintain an ethical, responsible and professional attitude and demeanor under all circumstances in person, by phone, e‑mail and correspondence, in order to effectively and efficiently engage and maintain working relationships with families, professionals and youth who are undergoing complex and crisis situations.

  • Successful criminal and child abuse and neglect background clearance as required by state regulations for those who work with children and families in the Child Welfare System.
