Duties and Responsibilities
  • Supervises and coordinates the work of four staff members to ensure the efficient ordering, receipt of library materials and processing items through gift and exchange programs.
  • Provides instructions on well-established procedures and tasks, monitoring the work activities of personnel to ensure accuracy.
  • Reviews the work product from specific task assignments of department staff.
  • Trains staff and student employees in departmental policies and library systems.
  • Manages centralized services for the ordering and receipt of print and non-print materials, including books, audiovisuals, and microforms.
  • Monitors contractual approval and gathering plans.
  • Confirms receipt of materials and authorizes payment of invoices against book funds.
  • Monitors the timely expenditure of book funds through regular tracking and reporting.
  • Oversees the Gifts and Exchange program, including the solicitation of materials related to Hawaii and areas of excellence.
  • Maintains the department's specialized systems by reading and understanding existing web-based PHP scripts to ensure continuous operation.
  • Troubleshoots user errors and resolves problems relating to web-based applications.
  • Updates production documentation to reflect changes in application processing or system workflows.
  • Evaluates and tests existing programs to determine if they meet the current needs of the Acquisitions workflow.
  • Communicates with book dealers and vendors to resolve order status issues or acquire difficult-to-obtain materials. Initiates and monitors exchange partnerships with research institutions locally and globally.

Minimum Qualifications

Education and Professional Work Experience

  • Possession of a baccalaureate degree in computer science, information science, or related field and 2 years of progressively responsible professional experience with responsibilities for library acquisitions and fund management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Knowledge,

Skills and Abilities
  • Functional knowledge of principles, practices and techniques in the area of library acquisitions and fund management demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with an automated library environment.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of library acquisitions and fund management.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer, apply word processing and database software.
Supplemental

Minimum Qualifications
  • Experience using integrated library systems or cloud-based library services platforms.
Desirable Qualifications
  • Experience using the Alma library services platform.
  • Experience with automated acquisitions systems.
  • Ability to read and interpret PHP (Personal Home Page), Python, or similar web-based scripting languages for system maintenance purposes.
