Client Service Associate

This is a full-time, on-site role for a Client Service Associate, based in Honolulu, HI. The Client Service Associate supports Financial Planners by managing and processing all required paperwork and operational steps once a client has decided to move forward with an investment or planning recommendation. This role is critical to ensuring accuracy, timeliness, and compliance in the execution of client investment decisions, and serves as a key liaison between Financial Planners, clients, custodians, and internal operations.

• Process all investment-related paperwork following client approval, including account openings, transfers, rollovers, contributions, distributions, and investment changes.
• Prepare, review, and submit new account and transaction documentation to custodians and product providers.
• Ensure all documents are complete, accurate, properly signed, and compliant with firm, custodian, and regulatory requirements.
• Track paperwork status through completion and proactively follow up on outstanding items.
• Coordinate closely with Financial Planners to clarify instructions, resolve issues, and ensure accurate execution of client intent.
• Communicate with clients as needed to obtain signatures, missing information, or clarification, maintaining a professional and service-oriented approach.
• Maintain organized, up-to-date client records in CRM, document management, and custodial systems.
• Monitor timelines to ensure timely funding and implementation of investment strategies.
• Identify discrepancies or processing issues and escalate appropriately.
• Support compliance and audit requests by maintaining clean, well-documented client files.

• Minimum 2 years of experience in investment operations, client service, or processing within a financial advisory, brokerage, or wealth management environment.
• Strong understanding of investment account types and transactions (e.g., brokerage, advisory, retirement accounts).
• High attention to detail and strong organizational skills.
• Ability to manage multiple client requests and deadlines simultaneously.
• Excellent written and verbal communication skills.
• Proficiency with CRM systems, custodial platforms, and standard office software.

• Experience working directly with Financial Planners or Advisors.
• Familiarity with custodians such as Schwab, Fidelity, Pershing, or similar platforms.
• Knowledge of basic regulatory and compliance requirements applicable to investment processing.
