Job Description
As an Individual Contributor, this role supports Client Service Officers and Institutional Services Advisors in the accurate and timely administration of client accounts. The position assists with operational, administrative, and compliance-related activities to help deliver high-quality client experience while ensuring adherence to bank policies, procedures, and regulatory requirements.
Responsibilities- Client and Stakeholder Support:
Serves as a liaison between internal and external clients, Client Service Officers, CPAs, auditors, attorneys, and internal partners to support day‑to‑day service needs. Assists with responding to routine inquiries and escalating issues as appropriate. - Account Administration Assistance:
Supports assigned account administration activities, including transaction research, documentation support, meeting coordination, and preparation of presentations, spreadsheets, and correspondence. Ensures tasks are completed accurately and in accordance with established procedures. - Operational and Mail Processing:
Handles daily physical and digital mail activities, including proper storage, filing, and disposal. Supports operational workflows to ensure timely processing and record retention. - Compliance and Policy Support:
Assists with compliance and audit requirements by following departmental policies and procedures. Supports monitoring activities related to regulatory, information security, and internal control standards and addresses identified issues by established deadlines. - Process and Team Support:
Assists with identifying opportunities for process improvements and supports special projects and peak workload periods as needed. - Performs other responsibilities and duties as assigned.
- High school diploma or G.E.D.
- Minimum 1 year of experience in charitable foundations, institutional services, investment services, trust services, or a related administrative or financial services environment.
- Proficient with Microsoft Office applications.
- Ability to read and understand standard trust provisions with a basic understanding of general accounting principles and customer service practices preferred.
- Intermediate knowledge and skill proficiency in accuracy and efficiency, detail orientation, organization, and technology literacy.
- Basic knowledge and skill proficiency in account administration, analytical thinking, communication, cross‑functional collaboration, customer experience, laws and regulations, and product and service knowledge.
- Demonstrated ability to follow procedures and manage multiple tasks in a regulated environment.
