Manage the daily activities of the Payroll Shared Services operation for all three Utility companies and HEI. Coordinate updating of payroll information between the HR/Benefits system and SAP Payroll system and other interfacing systems. Ensure timely, accurate, and efficient processing of employee wage payments and tax withholding. Enforce payroll SOX controls, payroll tax and government reporting requirements, and support time and attendance, payroll functions, and processes.
Serve as liaison between payroll and other members of the CCOE/SAP matrix organization.
- Manage payroll activities for all three Utility Companies and HEI, including special processing of vested and non‑vested imputed income plans, special awards programs, relocation programs, TDI and workers compensation payments.
- Coordinate timely updating of employee payroll information between the HR/Benefits system and SAP Payroll, and manage the setup of all earnings and deduction codes.
- Make timely tax payments, file online reports, prepare quarterly and annual payroll tax returns, upload W‑2 forms to taxing authorities, and address tax notifications.
- Ensure timely and accurate payroll reporting; work closely with Corporate Accounting and Treasury on all internal financial reporting and cash management requirements; validate and reconcile payroll and payroll tax liability account balances monthly.
- Collaborate with Human Resources and HEI taxes on new compensation plans, union contracts, management and executive compensation, and changes to employee benefit programs; address special payroll tax requirements and document procedures.
- Participate in company emergency response activities as assigned.
- Thorough knowledge of federal and state withholding tax laws, workers’ compensation laws, temporary disability insurance laws, and unemployment laws.
- Strong understanding of accounting principles, including general ledger and cost accounting; usually acquired through advanced college‑level accounting courses or equivalent experience.
- Knowledge of policies and procedures in documents such as the Company/Union Agreement and General Information Manual.
- Working knowledge of computer systems and software applications (e.g., spreadsheets, word processing, database management).
- Excellent written, oral, and presentation skills.
- Strong interpersonal skills to influence and persuade various groups or individuals.
- Strong leadership skills and ability to work with a variety of individuals.
- In‑depth analytical, organizational, and conceptual skills for managing projects and programs.
- Ability to remain flexible in a demanding work environment and adapt to rapidly changing priorities.
- 3–5 years of accounting experience, including a minimum of 2 years in payroll or cost accounting.
- 2–3 years of supervisory experience in accounting or related field (highly desired).
