Grants Fiscal Support Specialist

The Grants Fiscal Support Specialist supports administration of state-funded grant initiatives — such as Act 310, which provides emergency grants to nonprofits serving Hawaiʻi residents — by bridging the fiscal and programmatic sides of the grant lifecycle. Working closely with the Grants Administrator and this position processes subrecipient fiscal reports to ensure allowability of expenses reported, support documentation completeness, maintains audit-ready fiscal records, and ensures grant activity complies with State of Hawaii requirements from award through final close-out.

Essential Duties and Responsibilities

Grant Intake & Subrecipient Support

  • Review and process nonprofit grant fiscal reports using approved criteria.
  • Collect and verify documentation and information related to subrecipient fiscal reporting.
  • Provide technical assistance and communication support to subgrantees via phone and email.
  • Work cross-departmentally to track information relating to fiscal reporting.

Fiscal Report Processing & Review

  • Review fiscal reporting packets to confirm required approvals, documentation, and funding details are complete.

State of Hawaii Compliance, Reconciliation & Close-Out

  • Compile financial data and supporting documentation from subrecipient submissions and verify for accuracy and allowability ensuring approved subrecipient budgets are adhered to.
  • Assist in preparing final fiscal reconciliations and close-out documentation in accordance with State requirements.

General & Administrative

  • Support data entry, record retention, and data collection/reporting needs across grant programs.
  • Communicate proactively to resolve discrepancies and ensure timely completion of subrecipient fiscal reports.
  • Show strong attention to detail, organizational skills, and the ability to manage multiple priorities and deadlines.
  • Perform other grants, and administrative duties as assigned.

Preferred Qualifications

  • Experience with State of Hawaii grant processes, reporting cycles, and close-out procedures.
  • Working knowledge of nonprofit and grant accounting, GAAP, and financial reporting practices.
  • Advanced skills in Excel.
  • Knowledge and experience with grant-making systems and community impact program implementation.
  • Comfortable interacting with stakeholders at all levels of an organization.
  • Ability to operate effectively with diverse organizations and work independently as well as within a team.

Required Qualifications

  • Minimum two (2) years of experience in accounting, fiscal grant administration, or grant/administrative support
  • Must be authorized to work in the United States
  • Must be able to pass a background and drug test
  • Must be located in Hawaii or have pre-existing plans to be in Hawaii
