Under the direction of the Chief Philanthropy Officer, the Development Coordinator is responsible for managing the operational, administrative, and logistical functions of Ronald McDonald House Charities of Hawaii's Development Department. This position oversees development operations, donor database management, gift processing, donor stewardship administration, and the planning and execution of the organization's fundraising events.
The Development Coordinator works collaboratively with the Chief Philanthropy Officer, Fund Development Manager, and Philanthropy Manager to ensure efficient fundraising operations, exceptional donor experiences, and successful execution of all development activities. This position serves as the operational backbone of the Development Department by maintaining systems, coordinating projects, and ensuring accurate donor records and reporting. This position is subject to the general policies established by the Board of Directors.
- Oversees the daily operations of the Development Department, ensuring efficient administrative systems and processes that support fundraising activities.
- Manages the organization's donor database (CRM), maintaining accurate donor records, gift entry, acknowledgments, contact reports, constituent profiles, and fundraising data.
- Processes charitable contributions and ensures timely gift acknowledgments, donor receipts, tribute acknowledgments, and stewardship communications.
- Develops and maintains fundraising reports, dashboards, mailing lists, donor analytics, and performance metrics for leadership and the Board of Directors.
- Coordinates donor stewardship activities including recognition programs, donor communications, impact reporting, and stewardship events.
- Assists with prospect research, donor screening, and portfolio management by providing research and administrative support to fundraising staff.
- Maintains department calendars, fundraising timelines, project plans, and operational workflows to ensure timely completion of fundraising initiatives.
- Plans, coordinates, and manages the logistical execution of Ronald McDonald House Charities of Hawaii's fundraising events, including the Golf Classic, Benefit Gala, Red Shoe 5K and other fundraising activities.
- Oversees event registration systems, auction software, guest management, seating, timelines, vendor contracts, event materials, and on-site logistics.
- Coordinates event committees, volunteers, vendors, sponsors, and staff to ensure successful event implementation.
- Develops detailed event timelines, operational plans, volunteer assignments, and day-of-event schedules.
- Manages event budgets, invoices, purchase requests, and expense tracking in collaboration with the Chief Philanthropy Officer.
- Conducts post-event evaluations and prepares reports outlining attendance, expenses, operational successes, lessons learned, and recommendations for future improvements.
- Collaborates with Volunteer Services Manager for development activities and fundraising events, including recruitment, scheduling, communication, and recognition.
- Assists with direct mail campaigns by coordinating production schedules, mailing lists, printing, and distribution logistics.
- Represents Ronald McDonald House Charities of Hawaii at fundraising events, community functions, and organizational activities as appropriate.
- Promotes a positive image of Ronald McDonald House Charities of Hawaii through professionalism, exceptional customer service, and relationship building.
- Demonstrates a collaborative team approach by supporting departmental priorities and assisting colleagues whenever needed.
- Assists with organization-wide events and activities that support the mission of Ronald McDonald House Charities of Hawaii.
- Performs other duties as assigned by the Chief Philanthropy Officer or President & CEO.
- Bachelor’s degree or equivalent course work/training from an accredited college or university in marketing, business, communications or related field.
