Position Summary

The primary function of the Purchasing Assistant is to assist the purchasing manager with all purchasing requests for supplies, services, and equipment for our yards.

Duties & Responsibilities
  • Effectively utilize all capabilities of the Trend/Infor purchasing system.
  • Manage the DO process: send DOs to vendors, confirm, track, and communicate with the Sales Team.
  • Update DO header to reflect correct FOB terms and shipping method.
  • Manage the custom logo process for all DOs.
  • Maintain accurate information in Trend for all PO/DO orders (including back orders).
  • Confirm all orders for pricing, due date, and correct delivery address.
  • Notify Buyers of price discrepancies.
  • Enter ETAs at the line level when POs will not ship complete.
  • When vendors arrange freight and bill TSW for it, confirm shipping charges and enter information in PO headers before POs are received.
  • Prepare and maintain the Open Order Report with accurate information daily.
  • Identify late POs and address with vendors.
  • Identify POs that have not been confirmed and/or printed.
  • Identify backorders that need confirmation with vendors.
  • Handle Sales Team inquiries regarding PO/DO due dates.
  • Coordinate with vendor, AP and Receiving when inbound POs have shipping errors, missing product or freight damage.
  • Prioritize POs for Receiving when they are backed-up, using the Backorder Report.
  • Develop and maintain good working relationships with all personnel and vendors.
  • Special projects as assigned.
  • May require heavy lifting.
  • Maintain a clean, orderly, safe work area and perform other directed duties.
Basic Qualifications
  • High School Diploma.
  • Minimum of 2 years of related work experience.
  • Strong Microsoft Office skills.
