The Athletic Sports Program Coordinator is responsible for managing and overseeing the administrative functions of the school's athletic program. This includes eligibility and roster management, scheduling, transportation coordination, post-season activities, communication, awards and recognition, summer athletics support, file maintenance, reporting, and event management. The Coordinator also assists with human resources duties related to the athletic program. Primary responsibilities include, but are not limited to:

Responsibilities
  • Eligibility and roster management.
  • Prepare and submit eligibility lists and team rosters by deadlines.
  • Manage student‑athlete history and information, ILH participation records, and end‑of‑season awards.
  • Transportation coordination to include: scheduling buses for travel to and from all team‑related events, coordinating with the Punahou Transportation Coordinator and contracted vendors.
  • Resolve real‑time transportation issues as they arise.
  • Prepare and distribute post-season grids to determine sports participation, PE credit allocation, and letters earned.
  • Prepare and inventory letters, pins, and certificates for awards.
  • Assist with the Summer athletics process.
  • Prepare student‑athlete participation, non‑league events, and student‑athlete school transfer reports for each season and send them to the ILH League office.
  • Assist the Athletics Executive Assistant with HR related duties.
  • Assist with supervision of student‑athletes during athletics travel.
Position Details
  • Work Year: 12 Months
  • Work Hours:

    Monday - Friday, 7:30 AM - 4:00 PM, Schedule may vary based on operational needs
  • Minimum Hourly Rate*: $27.00/Hour - Compensation is commensurate with qualifications.

Pay for selected candidates will be determined by various factors such as knowledge, skills, abilities, relevant training and experience, and internal equity.
Minimum Qualifications
  • Bachelor's degree and/or equivalent combination of work and experience.
  • Four (4) years of administrative experience; preferably in a large department with high volume.
  • Familiarity with athletic program administration and student‑athlete eligibility requirements.
  • Experience with MS Office Suite and Google Applications.
  • Proficiency in relevant software applications (Power BI, Blackbaud, rSchool) preferred.
  • Strong organizational and communication skills.
  • Ability to work independently and manage multiple tasks simultaneously.
