Sales Service Specialist

We are seeking a part-time customer service & order entry associate capable of delivering first-class customer service to our nationwide customers and in-house sales team. The person who will successfully fulfill this position will be skilled at time management and multi-tasking; have problem solving ability; and pleasing phone etiquette. Must have strong competency in Excel and other Microsoft Office Suite programs;

have true attention to detail and accuracy; and have the ability to work in a fast paced, manufacturing environment. Experience with in a manufacturing or specifically the spirits industry a plus.

This position is the primary contact for all customers and sales team members. Responsible for multiple areas including sales order processing, data management, metrics and reporting. Provides back up support for logistics and front desk receptionist.

• Retrieves and processes incoming sales orders in a timely manner
• Attends production meetings and provides information regarding inventory needs and upcoming priority shipments.
• Communicates any and all delays in shipping to customer, broker and internal sales team members.
• Maintains accounts to facilitate improved relationships with external customers, brokers and distributors.
• Formulates and implements solutions for problems identified at plant level.
• Traces and expedites emergency customer orders as necessary.
• Monitors daily reports for order control and on-time delivery.
• Coordinates, processes, and reconciles product returns as directed.
• Prepares and submits pricing as directed by sales managers for all customers in a timely and efficient manner.
• Prepares, submits and maintains all new customer setup forms.
• Maintains ERP system customer information and pricing accurately for all customers.
• Maintains ERP system finished goods inventory including researching discrepancies, facilitating inventory counts and processing adjustments.
• Primary contact for sales managers and sales representatives for sample requests.
• Prepares time sensitive reports as required for the accounting team.
• Manages inventory of bailment states and prepares required inventory transfers and reports.
• Performs other clerical duties as needed including but not limited to filing, photocopying, and collating.
• Answers customer service calls and maintains confidentiality and privileged information.
• Perform duties as outlined in Company policies and SOP’s and in a timely manner.

This job has no supervisory duties.

Associates degree or equivalent; 4 years related experience and/or training; or equivalent combination of education and experience. Prefer manufacturing, logistics and/or beverage manufacturing. Experience in a manufacturing and service setting with proven successful public interaction is a requirement.

Ability to communicate with proficiency, read and interprets documents such as safety rules, operating and maintenance instructions, and procedure manuals. Advanced ability to write reports, manuals and correspondence;
Ability to communicate effectively with management, customers and employees in a positive and effective manner. Exceptional customer service skills required, using tact and discretion with all internal and external contacts.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra. Detailed problem-solving skills and strong accounting skills are required.

Proficient technical capacity. Advanced Excel spreadsheet skills are required. Windows and Office experience necessary.
