Position: Facility Admin (Part-time; Fixed-term)

Facility Management Administrator – Part‑Time (Hoofddorp)

We are seeking a Facility Management Administrator to support our Hoofddorp office with Facilities Management activities and assigned tasks, along with some Reception duties. The role is part‑time (20 hours per week) under a fixed‑term agency contract for three months.

Responsibilities
  • Check the administration of QSHE files on‑site in line with data policies.
  • Maintain a professional and proactive presence with clients and customers.
  • Handle client requests in a timely, efficient, friendly and helpful manner via the CAFM system, adhering to SLAs.
  • Provide clerical and administrative support, including mail room/courier management, booking, collecting and delivering envelopes/boxes, office stationery supplies, IT equipment purchase orders and invoicing.
  • Meet, greet and escort visitors, coordinating meeting room and other requirements.
  • Serve as the central contact for the site, fielding and redirecting calls where required.
  • Ensure all associated paperwork is completed and maintained in an orderly and timely manner.
  • Support KPI reporting and meeting minutes.
Qualifications
  • High level of customer care skills.
  • Good understanding of admin‑related matters.
  • Excellent interpersonal and communication skills.
  • Ability to prioritise work and perform in hectic environments with tight deadlines.
  • Proactive and hands‑on approach with standards of excellence.
  • Ability to handle relationships with clients, contractors and supply chain.
  • Fluency in Dutch and English.
