Summary of Duties

Coordinates purchase of medical supplies, office supplies, forms, and equipment. Organizes the storage and catalog location of supplies and equipment. Coordinates medical record functions to include record maintenance of open and closed records and provides clerical support by filing documents, retrieving charts, and responding to requests for health information.

Essential Job Functions
  • Issues and delivers supplies and equipment in accordance with established policies and procedures.
  • Checks invoices, purchase orders, packing slips, etc. with incoming merchandise.
  • Organizes storage and catalog location of supplies and equipment for efficient handling and to prevent deterioration.
  • Maintains a Periodic Automatic Replenishment (PAR) level.
  • Assists in developing methods for determining quantity of supplies and equipment required.
  • Delivers emergency supplies and equipment as directed.
  • Conducts and completes chart reviews as assigned by the Director of Nursing Services.
  • Maintains a procedure for access to medical records, including the process for an outside source and/or resident to request a copy of the record.
  • Secures chart from floor, all data from current file, all administrative files, and any data off current chart related to each resident (i.e.. Leave of Absence (LOA) sheets, inventory of personal effects sheet, Activities for Daily Living (ADL) and Medication Administration Record (MAR) sheets)
  • Assembles chart into the “Order of Final Filing” following procedure to address incomplete files and compliance with discharge protocol.
  • Completes monthly death report for the State of Alabama.
  • Performs other duties and responsibilities including special projects as assigned.
  • Education and Experience

    High school diploma or equivalent preferred. Minimum of one (1) years relevant experience preferred.
