FEDERAL PROGRAMS CLERK/ADMINISTRATIVE ASSISTANT
JOB DESCRIPTION QUALIFICATIONS

  • High school diploma or equivalent preferred, supplemented by business courses and at least two (2) years of successful diversified office experience or equivalent combination of training and experience.
  • Must meet background clearance requirements as specified by Alabama Statutes and State Board of Education requirements.
  • KNOWLEDGE,

    SKILLS AND ABILITIES

    Extensive knowledge of the operation and program of the school system. Considerable knowledge of office practices and procedures, grammar, spelling, and business correspondence. Knowledge of accounting and Federal Programs bookkeeping procedures. Ability to exercise independent judgment. Ability to deal effectively and courteously with students, school personnel, and the general public. Computer skills required.

    JOB GOAL

    To assist in assuring the smooth and efficient operation of the Central Office-Federal Programs Department so that the maximum positive impact on the education of children can be realized.

    PERFORMANCE RESPONSIBILITIES
  • Serve as Federal Programs Clerk and administrative assistant to the Federal Programs Coord/Supervisor, arranging appointments, taking calls, answering inquiries, composing and typing routine correspondence and memoranda.
  • Prepare reports required from the Federal Programs Coord/Supervisor.
  • Maintain internal accounts and prepare financial reports.
  • Posts, adds, computes, compares a variety of financial accounting.
  • Assembles, records, types and files a variety of financial data.
  • Assist in researching records and provide factual data from the information on file.
  • Operate Office equipment such as a calculator, typewriter, computer, telephone, fax, copier, and standard and customized software.
  • Work with Local School Title I Chairperson, and or Principal in maintaining budgets and preparing budgets for submission to Federal Programs Coord/Supervisor for review.
  • Process requisitions/purchase orders submitted from the school principal and required by the Federal Programs Coord/Supervisor.
  • Keep time records and prepare payrolls.
  • Maintain inventory records.
  • Type a wide variety of records, reports, memoranda, and teaching materials and operate duplicating equipment.
  • Furnish information and assistance to students, parents, teachers, and other interested parties.
  • Communicate with all system and school personnel receiving federal program funds to include principals, secretaries, Title I chairpersons/committees, central office staff, and superintendent
  • Communicate with State Department of Education staff to implement requirements and guidelines locally.
  • Communicate effectively with the public, staff members, students, parents, administrators and other contact persons using tact and good judgment.
  • Disseminate information to SDE, central office, and schools as necessary to include student assessment information, professional development, migrant, ELL, Title I, innovative programs, Safe and Drug Free School information, school improvement, teacher and principal training, library media, summer school, and extended day.
  • Follow attendance, punctuality and proper dress rules.
  • Ensure adherence to good safety standards.
  • Maintain confidentiality regarding school/workplace matters.
  • Model and maintain high ethical standards.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  • Keep supervisor informed of potential problems or unusual events.
  • Respond to inquiries and concerns in a timely manner.
  • Exhibit interpersonal skills as an effective team member.
  • Demonstrate support for the school system and its goals and priorities.
  • Demonstrate initiative in identifying potential problems or opportunities for improvement.
  • Prepare all required reports and maintain all appropriate records.
  • Participate in cross-training activities as required.
  • Perform other tasks consistent with the goals and objectives of this position.
  • PHYSICAL REQUIREMENTS

    Light Work:
    Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as needed to move objects.

    TERMS OF EMPLOYMENT

    Salary and benefits shall be paid consistent with the System’s approved compensation plan.

    Length of the work year and hours of employment shall be those established by the System.

    EVALUATION

    Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of personnel.
