Performs intermediate administrative support work providing administrative support to department staff, receiving and processing incoming calls and visitors, preparing and maintaining records and files, typing a variety of documents, preparing reports, and related work as apparent or assigned. Work is performed under limited supervision. Makes daily bank deposits.
Responsibilities- Answers telephone, providing information and answering questions regarding paid and unpaid taxes.
- Handles incoming mail, receipting in and distributing to others as necessary, and manages returned mail.
- Process state income tax and estimated tax payments, maintains accurate and current records.
- Register vehicles coming into the City and adjust vehicles moving out of the City.
- Assists in preparing the personal property book.
- Issuance of business licenses and answers inquiries from business owners.
- Assist taxpayers with tax relief for the elderly and disabled and tax relief for veterans.
- Performs monthly inventory for DMV Select.
- Assist customers with Department of Motor Vehicle transactions to include titling, registrations, customer change of address, compliance summaries and driving records.
- Responsible for maintaining DMV supplies and orders.
- Inputs all DMV transactions as needed for DMV Select and Game and Inland Fisheries.
- Reconciliation DMV monies & makes deposits.
- Performs other duties as assigned by the Commissioner of the Revenue.
- High school diploma or GED and minimal experience providing administrative support, or equivalent combination of education and experience.
- None.
- General knowledge of standard office practices, procedures, equipment, and secretarial techniques.
- General knowledge of the organization and functions of the department and of general administrative policies and practices.
- Thorough knowledge of Microsoft software applications and general office equipment.
- Strong typing and data-entry skills, and command of English language and grammar.
- Customer service, interpersonal skills, organization, time-management skills, and basic math skills.
- Basic math and analytical skills with good attention to detail.
- Ability to keep office records and to prepare accurate reports from file sources.
- Ability to perform and organize work independently.
- Ability to prepare effective correspondence on routine matters and to perform routine office support details without referral to supervisor.
- Ability to establish and maintain effective working relationships with associates and the general public.
- Enter and compute data with speed and accuracy.
- Handle difficult situations effectively and tactfully.
- Work is primarily performed in an indoor, climate-controlled, pleasant environment.
- Stooping, walking, lifting, hearing, seeing up close, kneeling, talking, standing, and finger movement.
- Typical weight handled: up to 25 lbs.
