Position Overview
Serves as an administrative assistant supporting the department head and team by coordinating calendars, meetings, travel, records, and communication. Works closely with other departments to maintain smooth operations and confidentiality.
Key Responsibilities- Maintain calendars for the department head, scheduling meetings, coordinating arrangements, and taking minutes.
- Make travel arrangements as required.
- Maintain confidential personnel files, process timesheets, track PTO, and liaise with Payroll and HR.
- Coordinate receipt, processing, production, and distribution of regular reports; process requisitions, invoices, and expense reports with accurate coding.
- Distribute patient reports daily and prepare, edit, proofread letters, memoranda, documents, and presentations.
- Design formats and layouts for documents using Microsoft Office tools.
- Respond to mail, faxes, and email in a timely manner and monitor office supplies.
- Organize hard copy and computer files, maintain databases, and conduct internet research as needed.
- Serve as liaison with other departments, participate in office renovations and moves, and coordinate with IT and Facilities.
- Prepare patient charts, oversee department scheduling, facilitate add‑on patient scheduling, confirm appointments, and serve as point of contact for visitors and callers.
- Provide additional support as assigned.
- High school diploma or GED.
- Minimum of three years clerical, secretarial, office, or administrative experience.
- Broad knowledge of administrative and clerical functions.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and basic internet searching.
- Excellent organizational and interpersonal skills; friendly, customer‑focused demeanor; ability to prioritize tasks.
Sitting, standing, keyboard use, repetitive motion, occasional walking and climbing stairs; lifting up to 20 lbs. routine.

Pay Range: $18.94 - $23.68 per hour (full‑time equivalent). 40 scheduled weekly hours.
