Position: Unit Secretary - Mother/Baby - Hopewell - Full-Time - NIGHTS

Position Overview

The role involves transcribing physician orders, maintaining patient charts and records, coordinating supplies and medication deliveries, and providing essential communication support to ensure accurate and timely patient care.

Essential Functions
  • Transcribe physicians' orders accurately and in a timely manner.
  • Generate and maintain tools necessary for patient care (Kardex, MAR, nursing flow sheets, and other treatment sheets).
  • Create, maintain, and terminate patient charts in compliance with medical records guidelines.
  • Obtain and file test results, lab reports, and treatments in charts.
  • Ensure the integrity of the medical record, including patient identification on all chart forms.
  • Maintain chart forms in correct placement within the chart behind the correct chart tab.
  • Guarantee that all chart documents are placed properly for transfer or discharge.
  • Return old records to the medical record department upon discharge.
  • Send thinned charts to the new unit upon transfer or discharge.
  • Maintain patient census and status boards, log books, and computer databases, ensuring records are current and accurate.
  • Copy records and other information as needed.
  • Ensure the unit is supplied with necessary forms and supplies on order.
  • Expedite the delivery of materials and supplies by preparing orders and tracking paperwork.
  • Prepare unit charges as appropriate for specific unit needs.
  • Perform other duties as assigned; adapt to changing department demands.
  • Answer and place telephone calls timely, take accurate messages, and page personnel, departments, and physicians as needed.
  • Facilitate the movement of patients into and out of the unit and keep the charge nurse informed of discharge or transfer readiness.
  • Coordinate with patient transport and admission personnel regarding admissions and transfers.
  • Provide non‑clinical information (e.g., directions to a department, patient room location, assigned nurse identification) to patients, family members, visitors, staff, and physicians.
  • Monitor communication in the nursing station to protect patient confidentiality.
  • Schedule timely diagnostic tests and lab work as prescribed by nursing and medical staff.
  • Assist in answering call bells and communicating specific patient needs to staff efficiently.
  • Handle medication deliveries from pharmacy and place medications in the appropriate storage area.
Minimum Requirements
  • Education:

    High school diploma or GED.
  • Experience:

    One year in a secretarial role or currently enrolled in an accredited nursing school or medical professional healthcare program.
  • Knowledge &

    Skills:

    English speaking skills, basic organizational and reception skills.
  • Special Training:
    Medical terminology, transcription skills.
  • Behavioral:
    Customer focused.
Physical Demands and Work Environment
  • Frequent:
    Sitting, standing, walking, carrying objects, pushing/pulling, twisting, bending, reaching forward and overhead, wrist deviation, pinching/fine motor activities, keyboard use/repetitive motion.
  • Occasional:
    Climbing stairs or ladders, squatting/kneeling/crawling.
  • Continuous:
    Talking or hearing; lifting 35 lbs. to waist; lifting waist level and above 35 lbs.
  • Sensory requirements:
    Near and far vision 20/40, color discrimination, depth perception, accurate hearing.
  • Anticipated occupational exposures:
    Bloodborne pathogens, chemicals, airborne communicable disease, uneven surfaces, dust/particulate matter.
