Position Overview

Scherer Bros. is seeking an Order Management Specialist to join our Arden Hills, Minnesota Team.

The Order Management Specialist supports sales and accounting by accurately and efficiently processing special orders, customer returns, credits, and vendor billing. This role requires strong problem-solving skills to identify and correct order and invoice discrepancies, ensuring smooth operations. This position involves cross-functional collaboration and may require occasional travel to provide backup support at other company sites.

Key Responsibilities Order and Accounting Management
  • Process and manage special orders, including vendor acknowledgments, customer returns, and credits.
  • Receive special orders into the Bis Track system (Scherer Bros'. SAR) and actively manage

    Open Order Reports.
  • Verify and approve vendor invoices by matching them against product receipts to ensure accuracy.
  • Research and resolve invoice discrepancies, pricing errors, and purchase order concerns.
  • Enter and apply pricing/cost corrections for special orders based on exception reports.
  • Perform daily cash handling duties, including balancing the cash drawer, processing contractor payments, and preparing/delivering bank deposits.
  • Utilize standard reports to proactively monitor and address potential issues.
Collaboration and Communication
  • Work effectively with Sales, Accounting, and other Order Management staff to achieve departmental and company goals.
  • Communicate clearly and concisely with staff, team members, and customers to resolve issues related to pricing, shipping, and order discrepancies.
  • Identify opportunities for process improvement and recommend solutions to standardize procedures.
Administrative Support
  • Perform general office duties such as filing, scanning, daily mail processing, and maintaining office supply inventory.
  • Participate in the "Phone Pool" to direct callers to the correct department.
  • Assist with semi-annual inventory and audit activities as needed.
Education and Experience
  • High School Diploma or equivalent required.
  • Minimum of four years of office and/or accounting experience is strongly preferred
Knowledge, Skills, and Abilities
  • Strong detail orientation and analytical skills with the ability to use logical reasoning to evaluate complex information and ensure accuracy in standardized work processes.
  • Excellent written and verbal communication skills with a strong customer service focus.
  • Proficiency in math skills and computer applications, including Microsoft Outlook/Calendar and SAPs (Systems, Applications, and Data Processing software) or similar ERP/accounting systems (e.g., Bis Track).
  • Ability to work collaboratively as part of a team while also demonstrating the ability to work independently with minimal supervision.
  • Proven proactive problem-solving skills to anticipate and quickly resolve challenges.
  • Strong time management and organizational skills.
  • Knowledge of building/lumber and dispatch delivery systems is a plus.
