Are you someone who enjoys helping others, staying organized, and creating a welcoming environment? We're seeking an Administrative Assistant who will serve as the front desk coordinator for our Adolescent Day Treatment program while providing operational support across the agency.

What You'll Do- Welcome clients, families, visitors, and community partners with professionalism and compassion.
- Serve as the primary front desk support for our Adolescent Day Treatment program (Monday through Friday, 7:30AM-4:00PM).
- Answer phones, direct calls, and assist clients and their families in person with questions and scheduling needs.
- Support client intake and enrollment processes while ensuring a smooth and positive experience.
- Maintain accurate records, databases, and spreadsheets to track enrollment, applications, and program outcomes.
- Assist the billing department by gathering required documentation for various program areas.
- Maintain client records in compliance with agency policies, confidentiality standards, and regulatory requirements.
- Provide administrative support to multiple programs and team members as needed.
- Assist with Electronic Health Record (EHR) system trainings and support for Day Treatment team members.
- Perform other duties that support our mission and team.
- High school diploma or equivalent.
- Two years of administrative or customer service experience, including responsibilities such as answering phones, greeting visitors, scheduling, filing, and managing email.
- Ability to sit for extended periods and occasionally bend or lift up to 50 pounds.
- Experience working in behavioral health, healthcare, education, or another human services setting.
- Experience using an Electronic Health Record (EHR) system.
- Friendly, welcoming, and committed to exceptional customer service.
- Organized and able to manage multiple priorities with accuracy.
- Calm, compassionate, and professional during busy or stressful situations.
- Comfortable working independently while also being a collaborative team member.
- Skilled at maintaining confidentiality and handling sensitive information.
- Strong communicator with excellent written and verbal skills.
- Detail-oriented with strong problem-solving and critical thinking abilities.
- Proficient with Microsoft Word, Excel, and Outlook.
- Flexible and adaptable.
- Able to build trust and positive relationships with youth, families, coworkers, and community partners.
- Willing to travel between Youable locations as needed.
- Primarily based on a school/day treatment environment.
- Regular interaction with adolescents, families, team members, and community partners from diverse backgrounds.
- Hybrid role possible after training is completed.
- Requires the ability to remain professional and composed when responding to crisis situations.
