We are looking for a highly organized, proactive, detail-driven professional to support a fast-paced, high-producing mortgage team.

The Client Experience & Operations Coordinator ensures smooth daily workflow across borrower communication, referral partner engagement, gifting logistics, scheduling, reporting, and executive support.
This is not an entry-level “assistant” role. This is an ownership role. The right person will take initiative, anticipate needs, and keep both clients and leadership fully supported.
📅 Daily Responsibilities- Update Airtable daily to track client data, referral sources, pipeline stages, loan types, closing dates, and gifting
- Prepare and send approval letters, workbooks, and home buying passports to newly approved borrowers
- Send initial disclosures as needed
- Manage all client and referral gifting including pre-approval and partner appreciation gifts
- Package and ship borrower gifts to ensure timely delivery
- Conduct outbound outreach to prospects, past clients, and realtors via call, text, and email
- Schedule borrower meetings
- Print daily schedules for leadership
- Coordinate internal scheduling between CLG and SMP team members
- Assist with refinance documentation and file copying
- Support additional team projects as assigned
- Order and restock office supplies and snacks
- Maintain office organization including conference room reset
- Coordinate and send new hire welcome gifts
- Send birthday cards to CLG and SMP team members
- Answer incoming main office calls and route appropriately
- Schedule meetings for executive leadership
- Send weekly Thursday realtor updates for all active purchase files
- Review and organize monthly AMEX charges and receipts for accounting
- Update monthly loan officer production numbers and send progress trackers
- Prepare detailed travel packets before conferences including agendas, flights, and hotel confirmations
- Conference and travel coordination
- Executive meeting scheduling and follow-ups
- Industry announcement coordination
- Birthday and milestone recognition
You are:
- Extremely organized
- Comfortable in a fast-paced, high-performance environment
- Professional on the phone and in writing
- Proactive, not reactive
- Comfortable managing gifting logistics and executive scheduling
- Tech-savvy and comfortable learning new systems
Experience in mortgage, real estate, or financial services is preferred but not required.
