We are searching for the best talent for an Sr. Administrative Assistant. This hybrid role will be in Horsham, PA and the individual will be required to work in the office 3 days a week.

The Senior Administrative Assistant will be a member of the Immunology team and provide comprehensive and direct administrative support to the Dermatology Marketing Leadership Team. The role will report directly to the Director of Marketing, Dermatology.

Responsibilities
  • Maintain highly fluid calendars and proactively manage competing priorities to support critical business needs.
  • Anticipate leadership needs, collaborate effectively, and pivot as business priorities change.
  • Coordinate logistics for onsite and offsite meetings.
  • Prepare and validate monthly expense reports.
  • Make and manage travel arrangements.
  • Develop and maintain organizational documentation, including organization charts, distribution lists, team lists, and vacation/holiday calendars.
  • Facilitate onboarding and employee transitions, including transfers and terminations.
  • Lead select procurement workflows, such as check requisitions.
  • Support larger team projects, programs, and ad hoc administrative needs across Immunology marketing teams.
  • Troubleshoot workplace facility and technology issues and manage office supplies.
Qualifications
  • A minimum of a high school diploma is required; advanced education or training is preferred.
  • At least 5 years of administrative experience is required, including experience supporting large, dynamic teams.
  • Ability to prioritize, stay organized, and achieve results in a fast-paced environment with shifting and competing priorities.
  • Strong interpersonal, verbal, and written communication skills with the ability to engage effectively across all levels of the organization.
  • Demonstrated initiative, sound judgment, problem-solving skills, and high emotional intelligence in ambiguous or challenging situations.
  • Proven ability to collaborate effectively as part of a team.
  • Proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, Copilot, and Outlook, is required.
  • Experience managing complex calendars in Outlook is required.
  • Knowledge of HR systems, productivity tools, and portal technology, such as Global Services, Workday, SharePoint, Teams, IRIS, and Concur, is preferred.
  • This position will be based in Horsham, PA.
