Description

AP Coordinator role involves managing Accounts Payable functions, including recording bills, categorizing expenses, and tracking job and inventory costs. Responsibilities include processing payments, submitting A/P aging reports to executives, verifying invoice accuracy, and coordinating corrections with vendors and colleagues. Additionally, the role encompasses managing employee expense reports, maintaining thorough documentation, organizing invoices and checks for accurate records, addressing vendor inquiries on overdue invoices, overseeing a bill approval process for timely payments, and communicating with customers to update account information as necessary.

Requirements
Account Payables
  • Record all bills, categorize expenses into appropriate accounts, and track expenses for jobs and inventory items.
  • Process checks for all payables and submit A/P aging report to the Controller by Wednesday morning.
  • Review invoice accuracy and liaise with vendors and colleagues for necessary corrections or modifications.
  • Process employee expense reports promptly and ensure accurate documentation for all payments.
  • Organize and file invoices and checks to maintain accurate accounting records.
  • Address vendor inquiries regarding past due invoices promptly.
  • Establish and maintain a bill approval process to ensure timely vendor payments.
  • Communicate with customers via calls or mail as needed to update accounts.
Safety
  • Report all recognized unsafe conditions or acts to Management.
  • Wear proper PPE when necessary.

EDUCATION
  • High school diploma or general education degree (GED) required.
  • Bachelor’s degree (B.A.) with emphasis in Business, Finance, or Accounting from four‑year college or university preferred.
CERTIFICATIONS & LICENSES
  • No certifications or licenses required for this role.
Experience
  • 2–5 years of related experience with Accounts Payable and bookkeeping.
  • Experience with Quick Books is required.
TALENTS
  • Knowledge of basic accounting principles.
  • Strong technical accounting skills and knowledge of federal and state regulations, finance, accounting, budgeting, cost control principles including Generally Accepted Accounting Principles, and auditing and regulatory reporting.
  • Strong computer skills (MS Excel, Word, Outlook, Sales Force, etc.).
  • Ability to prioritize and multitask, while maintaining superior attention to detail and accuracy to meet deadlines.
  • Ability to thrive in a fast‑paced, entrepreneurial environment; flexible with respect to changing needs and tasks; able to work autonomously as well as take direction as needed.
