The role involves serving as the first point of contact for clients and visitors, managing accounts receivable and payable, following up on past‑due accounts, and supporting day‑to‑day office operations and executive staff. The ideal candidate is someone who is looking to grow and develop their skills, is enthusiastic and proactive, can work without constant direction, and is always looking on how processes can be improved.
RESPONSIBILITIES- Answer, screen, and direct incoming calls; greet and assist visitors
- Respond to client inquiries related to invoicing and account status
- Prepare and format client invoices in Excel and upload them into our accounting system
- Apply incoming payments and monitor accounts receivable for past‑due balances
- Follow up with clients on outstanding payments — persistently and professionally
- Enter vendor invoices into our accounting system and maintain payment schedules
- Perform month‑end closing, account reconciliation, and resolve accounting discrepancies
- Track license renewals, business license reviews, insurance renewals, and contract anniversaries
- Organize and maintain corporate and legal documentation
- Coordinate employee and client gifts for holidays and milestones
- Assist with travel arrangements, meeting preparation, and executive support
- Work on internal projects independently and coordinate with team members when needed
- Support C‑level executives on financial tasks and day‑to‑day operations
- Minimum 2 years of accounting experience, including accounts receivable, accounts payable, month‑end closing, and bank reconciliation
- Proficiency with Quick Books Online
- Advanced proficiency with Microsoft Excel
- Proficiency with Microsoft Office and Adobe
- Strong written and verbal communication skills
- Exceptional attention to detail
- An associate's or Bachelor's degree in Accounting, Business Administration, or a related discipline is preferred.
- Equivalent on‑job experience is equally valued.
