Payroll Specialist Job Responsibilities
- Lead the timely and accurate preparation of the semi-monthly payroll for 300+ employees, which includes reviewing timesheets for accuracy, calculating payroll and preparing employee payroll and tax deposits
- Assure that all state and federal payroll and related tax regulations and laws are followed and that reporting requirements are met (including the preparation of the 941 report)
- Coordinate and process federal W-4 tax information to employees and year-end information to balance, print, and distribute W-2 forms
- Maintain and monitor accrued vacation, sick, holiday, overtime, and other types of employee leave
- Respond & interact with employees and provide guidance related to the agency's payroll policies & procedures, benefits and other related information
- Review and resolve payroll discrepancies & timesheet corrections timely and accurately
- Review and reconcile benefit and health insurance billings
- Prepare payroll year-end closing entries & audit schedules
- Test and implement new payroll system pay, accrual and deduction codes; update existing codes as needed
- Audit data integrity between our HRIS and the timesheet software
- Enter daily accounts receivable remittances received via check or electronic funds transfer (EFT) into the accounting system
- Create and maintain procedural documentation related to all payroll functions, duties, and tasks
- Bachelor's degree in Accounting, Finance, Business Administration or closely related field
- Familiarity with automated payroll systems. H-GAC uses the MIP accounting system
- Familiarity with automated time sheets. H-GAC has 3 different work schedules, including a 9/80 and 4/10 option
- Experience with payroll processing for staff size of 300+
- Governmental finance/accounting experience
- Bachelor's degree in an applicable academic discipline or related field of study.
- 3 years of experience working with local government, nonprofit programs, school, or in job-related duties
- Graduate degree in Accounting, Finance, Business Administration or closely related field.
- 5 years of experience working with local government, nonprofit programs, school, or in job-related duties
- Certified Payroll Professional (CPP) certification
