Standard schedule is Monday through Friday.
PurposeThe Payroll Supervisor is responsible for overseeing and executing all payroll operations for a multi-state construction organization. This role ensures accurate, timely payroll processing, compliance with all regulatory requirements, and proper supervision of payroll functions. The position requires expertise in certified payroll, prevailing wage regulations, and the Trimble Vista system. The Payroll Supervisor also plays a key role in tax compliance, year-end closeout activities, and annual benefits coordination.
Core Job Responsibilities Payroll Processing & Administration- Process weekly payroll for field and office employees across multiple states
- Review, audit, and reconcile payroll data including timecards, deductions, benefits, and tax with holdings
- Ensure proper job costing allocations in coordination with project teams
- Maintain payroll records and system integrity within Trimble Vista
- Respond to employee payroll inquiries and resolve discrepancies promptly
- Oversee daily payroll operations and provide guidance to payroll staff (if applicable)
- Establish and maintain payroll procedures, internal controls, and best practices
- Train and support payroll team members on systems, compliance, and reporting requirements
- Collaborate with HR, Accounting, and Project Management teams to ensure accurate data flow
- Ensure compliance with all federal, state, and local payroll laws and regulations
- Prepare and submit certified payroll reports in accordance with prevailing wage laws (e.g., Davis‑Bacon Act)
- Manage multi-state payroll tax filings, payments, and reconciliations
- Support internal and external audits by providing payroll documentation and analysis
- Maintain confidentiality and security of sensitive payroll and employee data
- Monitor ongoing changes in payroll tax laws and regulatory requirements across jurisdictions
- Ensure accurate calculation and timely remittance of payroll taxes
- Reconcile payroll tax accounts on a regular basis (monthly/quarterly)
- Coordinate with third‑party providers and agencies to resolve tax discrepancies or notices
- Maintain compliance with unemployment insurance, local taxes, and multi-state registrations
- Lead year-end payroll processing activities, including final payroll runs and adjustments
- Reconcile all payroll balances, including wages, taxes, and deductions
- Prepare, review, and distribute employee W‑2 forms accurately and timely
- Validate year-end tax filings and ensure proper submission to federal, state, and local agencies
- Support year-end audits and provide required payroll reports and documentation
- Ensure system readiness and data accuracy for transition into the new payroll year
- Coordinate payroll updates related to annual benefits enrollment and changes
- Ensure accurate setup and deductions for medical, dental, vision, retirement, and other benefits
- Partner with HR during open enrollment to validate employee elections and payroll impacts
- Conduct audits of benefit deductions and employer contributions
- Update payroll systems to reflect new benefit rates, limits, and regulatory changes
Skills & Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
- Certified Payroll Professional (CPP) designation preferred
- Minimum 5–7 years of payroll experience, preferably in the construction industry
- Demonstrated expertise with Trimble Vista (required)
- Strong knowledge of multi-state payroll compliance and tax regulations
- Experience with certified payroll and prevailing wage requirements
- Advanced proficiency in Microsoft Excel and payroll systems
- Strong analytical, organizational, and problem‑solving skills
- Excellent communication and leadership abilities
- Occasionally lift objects weighing up to 25 pounds
- Sit for long periods of time
- Occasionally stoop, kneel or crouch
- Use hands and arms to reach for, grasp, and manipulate objects
Most work time is spent in an office environment.
