The Bachrach Group is partnered with one of the leading commercial real estate firms in Houston on their search for an ACCOUNTING ADMINISTRATOR
. This position combines accounting, administrative, and office support responsibilities and plays an important role in maintaining efficient day-to-day business operations. The ideal candidate is organized, adaptable, and able to manage multiple priorities while providing excellent customer service to internal and external stakeholders. An Associate degree in Accounting, Business Administration, Finance, or any related field, along with 2+ years of accounting operations / AR and AP experience are required.

RESPONSIBILITIES

and QUALIFICATIONS
  • Review, code, and process vendor invoices, ensuring all required approvals are obtained before payment.
  • Enter invoices accurately into the accounting system and prepare weekly check runs, ACH payments, and wire transfers.
  • Maintain vendor records, including W-9 forms, insurance certificates, and other supporting documentation.
  • Respond to vendor inquiries, research payment discrepancies, and assist with resolving outstanding issues.
  • Assist with company credit card reconciliations, expense reporting, and monitoring outstanding payables.
  • Record tenant payments, deposits, ACH transactions, and wire transfers while maintaining accurate tenant accounts and lease billing information.
  • Support tenant reconciliations, chargeback calculations, and other accounts receivable activities.
  • Assist with monthly bank reconciliations, month-end closing tasks, financial reporting, data entry, and other accounting projects.
  • Organize and maintain electronic and physical accounting records and files.
  • Answer and direct incoming phone calls, greet visitors, and provide professional front office support.
  • Manage incoming and outgoing mail, packages, courier services, and office supply inventory.
  • Coordinate office maintenance requests, vendor services, brokerage signage, and marketing material orders.
  • Prepare, scan, file, and maintain business documents in accordance with company record retention procedures.
  • Provide administrative support to the accounting, brokerage, property management, and development teams.
  • Maintain the confidentiality of company and financial information while delivering exceptional customer service to tenants, vendors, and business partners.
  • Collaborate with team members on special projects and perform additional duties as assigned.
  • Associate degree in Accounting, Business Administration, Finance, or a related field preferred.
  • 2+ years of experience in accounts payable, accounts receivable, bookkeeping, accounting support, or administrative office operations preferred.
  • Proficiency in Microsoft Excel, Word, Outlook, and Adobe Acrobat.
  • Experience with Quick Books, Yardi, or similar accounting software is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks, meet deadlines, and work effectively in a fast-paced environment.
