ATCO STRUCTURES AND LOGISTICS (USA) INC. ("ASL-USA") is seeking an Invoice Administrator for our Office in Houston. Process invoices for ATCO USA Sales Branches nationwide. Verify supporting documentation, maintain vendor records, and ensure invoices are properly coded and approved for payment.
KEYACCOUNTABILITIES /RESPONSIBILITIES
- Receive and process vendor invoices daily.
- Verify invoices against purchase orders, receipts, contracts, and other supporting documentation for accuracy.
- Record invoice information into ERP system (Oracle). Ensure proper codes are entered for appropriate accounts, departments, and cost centers.
- Identify and resolve discrepancies, i.e., duplicate invoices, pricing issues, and missing documentation.
- Route invoices for appropriate approval.
- Create purchase orders when needed to match with vendor invoices
- Update existing purchase orders to match vendor invoices, ensuring that all POs are coded correctly
- Track spend through internal company controls (Microsoft Excel) in addition to ERP system
- Maintain vendor records, ensuring accuracy and updated information. Maintain organized electronic and/or physical invoice records.
- Follow company accounting policies, internal controls, and procedures.
- Minimum one (1) year experience with invoice administration, accounts payables or receivables.
- Knowledge of basic accounting principles, and abilityto manage a high volume of daily transactions while meeting deadlines.
- Strong attention to detail and accuracy, with problem-solving and analytical abilities.
- Excellent organizational and time-management skills.
Ability to work independently and prioritize tasks. - Ability to collaborate & work as part of a team when needed
- Strong written and verbal communication skills.
- Competency with Excel is a must, with the ability to navigate large documents, understand formatting, and use of basic formulas.
- Proficiency in MS Office Suite;
Knowledge of SharePoint, Oracle ERP systems desired. - High School diploma/GED required. Formal accounting education preferred.
