Our client is seeking an experienced AIA Billing Specialist for a contract-to-hire opportunity. This role will be responsible for preparing, submitting, and tracking construction-related billings in accordance with AIA guidelines and contract requirements. The ideal candidate will have a strong background in progress billing, lien waivers, contract compliance, and collections support within the construction, engineering, or industrial services industries.
This position requires a detail-oriented professional who can manage multiple projects, work closely with Project Managers, and ensure timely and accurate invoicing to maximize cash flow.
Key Responsibilities
+ Prepare and submit AIA progress billings using G702 and G703 forms.
+ Process monthly pay applications in accordance with contract terms and project schedules.
+ Track contract values, approved change orders, retainage, and billing status.
+ Review contracts to ensure billings comply with customer requirements and project terms.
+ Maintain accurate billing schedules and reconcile job costs to billings.
+ Prepare and track sworn statements, lien waivers, certified payroll documentation, and supporting billing packages as required.
+ Monitor unbilled revenue and work-in-progress (WIP) reports.
+ Follow up on outstanding invoices and support collections efforts.
+ Investigate and resolve billing discrepancies, rejected invoices, and payment disputes.
+ Work closely with Project Managers, Operations, and Accounting teams to ensure billing accuracy.
+ Assist with month-end close activities, billing reconciliations, and revenue reporting.
+ Maintain customer portals and upload invoices and supporting documentation as needed.
+ Support internal and external audit requests related to contract billing and revenue recognition.
Requirements
Technical Requirements
+ 3+ years of AIA billing experience in construction, engineering, industrial services, commercial contracting, or related industries.
Strong understanding of:
+ AIA G702 and G703 forms
+ Progress billing
+ Pay applications
+ Retainage billing and tracking
+ Change order management
+ Time and material billing
+ Fixed-price contracts
+ Work-in-progress (WIP) schedules
+ Contract compliance requirements
Experience preparing:
+ Lien waivers
+ Sworn statements
+ Certified payroll documentation
+ Vendor and subcontractor payment support
+ Schedule of values (SOV)
+ Experience reconciling:
+ Contract values
+ Change orders
+ Retainage balances
+ Revenue and billing schedules
Proficiency with ERP and construction accounting systems such as:
+ Viewpoint Vista
+ CMiC
+ Sage 300 CRE
+ Sage Intacct Construction
+ JD Edwards
+ Oracle
+ SAP
+ Microsoft Dynamics
Microsoft Excel skills including:
+ Pivot Tables
+ XLOOKUP/VLOOKUP
+ SUMIFS
+ Reconciliations
+ Reporting and data analysis
Qualifications
+ High School Diploma or GED required;
Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred.
+ 3+ years of AIA billing experience required.
+ Strong knowledge of construction accounting and project billing processes.
+ Experience working with Project Managers, Contracts Administrators, and Accounting teams.
+ Ability to manage multiple projects and deadlines simultaneously.
+ Strong attention to detail and organizational skills.
+ Excellent communication and customer service skills.
Preferred Qualifications
+ Experience in commercial construction, engineering, manufacturing, industrial services, or EPC environments.
+ Knowledge of revenue recognition and percentage-of-completion accounting.
+
Experience with customer billing portals.
+ Exposure to month-end close and account reconciliations.
+ Understanding of subcontractor compliance and lien release requirements.
