- Act as the first point of contact to global functions on admin tasks within HR, Procurement, Tax, Finance, Legal for local management within Sales and Project Management.
Assist with HR & financial tasks such as invoicing, IRS, Tax and payroll coordination. - Check and approve local indirect spending (leases, utilities, security, cleaning, warehouse materials, tools, etc.).
- Manage indirect sourcing such as leases, utility and services to purchases for office supplies, business cards, and other essentials.
- Manage costs related to company vehicles (tags, road tax, lease payments, toll road tags, fuel cards).
- Finalize sales offers, including formatting and proofreading for accuracy.
- Support recruitment and onboarding processes.
- Manage local telephone provider accounts and monitor spend accuracy.
- Act as local IT interface: collect PCs from HP, set up devices per IT instructions, and prepare user credentials.
- Organize internal communications and plan events such as customer seminars and team gatherings.
- Coordinate between Global Communications & Public Affairs, ACP, and Trade Councils.
- Process documents to Denmark/Poland for visa applications and statutory requirements.
- Coordinate travel for Field Technicians, ensuring alignment with customer Site Managers and project teams for on-site support, safety, and introductions.
- Bachelor’s degree, equivalent Professional certification or similar.
- 1–3 years of experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and office management tools.
- Attention to detail and problem‑solving mindset.
- Professionalism and adaptability in a fast‑paced environment.
This position is based in our office in Houston and offers the possibility of hybrid work.
